Position Summary:
We’re seeking a reliable and professional Administrative Assistant / Receptionist to serve as the first point of contact for our firm. This individual will play a key role in managing the front office, supporting attorneys and staff, and maintaining a polished and organized environment. Duties
- Greet visitors and clients warmly, providing them with necessary information and assistance.
- Manage calendars, schedule appointments, and coordinate meetings for team members.
- Perform data entry tasks accurately to maintain updated records.
- Handle incoming calls, directing them to appropriate personnel while taking detailed messages when necessary.
- Assist with clerical duties including filing, proofreading documents, and maintaining organized office supplies.
- Support administrative tasks such as preparing reports, correspondence, and presentations as needed.
- Maintain confidentiality of sensitive information while ensuring compliance with office policies.
- Assist with social media posting
Qualifications
- Proven experience in an office environment; previous roles as a receptionist or administrative assistant are preferred.
- Strong organizational skills with the ability to prioritize tasks effectively.
- Proficiency in calendar management and scheduling software.
- Excellent verbal and written communication skills for effective interaction with clients and team members.
- Familiarity with data entry processes and file management systems.
- Experience in medical or dental reception is a plus but not required.
- Attention to detail with strong proofreading abilities to ensure accuracy in all communications.
