We are seeking a Firm Administrator to perform and oversee a high volume of administrative and operational tasks through a lens of maximizing firm efficiencies and effectiveness.
This job would have an occasional partial day on Saturdays during Tax Season only.
This position is full-time, permanent placement.
Essential responsibilities include:
- Control and manage documents scanning, storage, & management.
- Support members of the Executive Team with client communication.
- Generate miscellaneous reporting as requested by member of the Executive Team.
- Enter and maintain accuracy of data in firm practice management software.
- Assemble and process tax returns, and assist with 1099s.
- Collaborate on new client proposals and engagement letters, monitoring scope creep for fixed fee clients.
- Support client billing and aging.
- Provide assistance and support to clients in person, on the phone, and through email.
Highly qualified candidates will possess the following:
- High school diploma or equivalent required, college degree in business or a related field preferred.
- 5 years’ experience working in a professional office environment. Highly qualified candidates will have experience working in a public accounting firm.
- Active & engaged listener, compelling & effective communicator (both written & verbal), critical thinker, problem solver, team builder.
- Experience using Microsoft Office suite of products, including Excel (including pivot tables).
- Ability to communicate with clients & colleagues professionally & confidentially, with a friendly, cooperative, & helpful demeanor.
