Zinman & Company is regarded as a top accounting firm, providing professional accounting and bookkeeping services, as well as, comprehensive and expedient business tax services. Zinman & Company services businesses and individuals throughout the US, with a focus upon the tri-state area.

We are seeking a Firm Administrator to perform and oversee a high volume of administrative and operational tasks through a lens of maximizing firm efficiencies and effectiveness.

This job would have an occasional partial day on Saturdays during Tax Season only.

This position is full-time, permanent placement.

Essential responsibilities include:

  1. Control and manage documents scanning, storage, & management.
  2. Support members of the Executive Team with client communication.
  3. Generate miscellaneous reporting as requested by member of the Executive Team.
  4. Enter and maintain accuracy of data in firm practice management software.
  5. Assemble and process tax returns, and assist with 1099s.
  6. Collaborate on new client proposals and engagement letters, monitoring scope creep for fixed fee clients.
  7. Support client billing and aging.
  8. Provide assistance and support to clients in person, on the phone, and through email.

Highly qualified candidates will possess the following:

  • High school diploma or equivalent required, college degree in business or a related field preferred.
  • 5 years’ experience working in a professional office environment. Highly qualified candidates will have experience working in a public accounting firm.
  • Active & engaged listener, compelling & effective communicator (both written & verbal), critical thinker, problem solver, team builder.
  • Experience using Microsoft Office suite of products, including Excel (including pivot tables).
  • Ability to communicate with clients & colleagues professionally & confidentially, with a friendly, cooperative, & helpful demeanor.
