Job Summary:
We are seeking a business-oriented and customer-centric administrative coordinator to join our growing team in Parsippany, NJ! This is an exciting opportunity to be the face and main point of contact for one of our brands. The administrative coordinator will educate and assist B2B clients in providing them with the best vehicle service contract option tailored to suit their needs with the result of closing deals effectively and efficiently. This person will be responsible for all administrative correspondence of the business operations including but not limited to invoicing, customer service, support, contract agreements, business development, and more.
Duties/Responsibilities:
- Act as a main point of contact for all customer inquiries related to our service contract brand
- Onboard new clients (dealers and agents) effectively by meeting with them regularly, corresponding paperwork, and providing training on the systems and services, etc.
- Answer calls and emails from clients related to questions, issues, and executing contract agreements.
- Analyze consumer leads from various sources in order to conduct general sales efforts and developing the brand.
- Proactively reach out to customers by making outbound calls and respond to potential inquiries or leads.
- Advise customers of products and options and provide pricing quotes.
- Continuously present company products and services to new and existing clients.
- Document, analyze, and review all client interactions
- Continuously particpate in trainings to become a subject matter expert in order to provide exceptional client service.
- Process documents and communicate payment information to resolve client issues prior to escalation.
- Document all sales information in the application administration portal and internal systems.
- Responsible for the entire remittance process by working with clients and internal accounting teams to make sure payments are processed correctly.
- Provide sales support and execution of business contracts for our clients.
- General adminsitrative tasks
Required Skills & Experience:
- Minimum of 2 years of relevant experience in customer support and general business operations
- Experience with onboarding new clients
- Exceptional customer service skills, must be eager to work with clients
- Excellent communication and follow-through skills
- Must be able to present to clients and leadership
- Proficiency in MS Suite (Teams, Outlook, Excel, Word)
- Strong attention to detail and problem solving skills
Physical Requirements
- Prolonged periods of sitting at a desk and working on a computer
- Must be able to lift up to 15 pounds
