Primary Purpose:
Under moderate supervision of the Director of Child Nutrition; to perform a wide variety of secretarial and routine administrative duties in support of the Child Nutrition Department. Perform other related duties as assigned.
Education/CertificatioQualifications:
High school diploma or GED
Special Knowledge/Skills:
Proficient skills in keyboarding, data entry, word processing, and file maintenance
Ability to use software to develop spreadsheets and databases and do word processing
Ability to prioritize workflow to address the multiple needs of the Director or the department
Ability to multi-task numerous complex administrative activities
Basic math skills
Effective communication and interpersonal skills
Language Skills:
Ability to read, understand and follow written and oral directions.
Preference for bilingual ability in both English and Spanish.
Experience:
3 years administrative assistant experience
Pay Scale: AIS 4, salary based on experience
Major Responsibilities and Duties:
Records, Reports, and Correspondence
- Preform a variety of duties using a computer in daily work activities; update and maintain a variety of records and reports
- Perform general clerical work including filing, scheduling appointments and meetings; open, sort and distribute incoming mail; sort outgoing mail.
- Maintain attendance reports and accompanying records for the food service department.
Accounting
4. Receive deposits from school kitchens and prepare bank deposits.
5. Order and maintain inventory of office supplies and program equipment.
6. Assist in the maintenance of the department's record data; complete and process purchase orders, requisitions and reimbursements; maintain appropriate records.
Other
7. Receive telephone calls; screen, handle or refer routine calls as necessary; determine and collect information necessary to process calls.
8. Maintain calendars and schedules of activities, meetings and various events.
9. Make meeting arragements for department activities including preparing materials, scheduling and setting up facilities, and arranging equipment
10. Receive, sort, and distribute mail and other documents to department staff.
11. Assist with free/reduced meal applications.
12. Perform other duties as assigned by the Child Nutrition Director and Assistant Director
13. Maintain confidentiality of information.
14. Follow district safety protocols and emergency procedures
