Job Summary
This is an administrative role assisting our dynamic Strategic Partnerships (SP) teams as we engage with our major partners. 50% of the position will be assisting our Mentor & Volunteer Services (MVS) team with administrative needs. The other 50% will be assisting our Donor Relations team with administrative needs. This is an office-based position, working with highly skilled professionals in a fast paced and supportive environment.
Essential Job Responsibilities:
To perform this job successfully, an individual must be able to perform each essential job duty satisfactorily. The essential functions include the following:
Mentor & Volunteer Services Assistance (50% of your time)
- Provide administrative oversight to the onboarding process for mentors and volunteers, serving as the primary facilitator for background checks and documentation.
- Coordinate the processes for the following mentor and volunteer efforts (in conjunction with the MVS team): recruitment, background checks, placement, training, retention, and ongoing engagement.
- Assist team with facilitating meetings, analyzing results, and providing recommendations for continued growth and quality of the MVS program.
- Serve as the primary contact for potential volunteers and mentors via email and phone interaction to ensure clear and timely communication.
- Maintain/update the MVS database.
- Grow and enhance mentorship and volunteerism at MnTC by strengthening internal partnerships and assisting with training mentors and volunteers.
- Work closely with the Volunteer Program Manager to create and maintain scheduled shifts in the MVS database for all active volunteers.
- Attend and support MVS group volunteer, regular volunteer, and mentor events.
- Assist Mentor Program Manager and Volunteer Program Manager with other duties as assigned.
Donor Relations Assistance (50% of your time)
- Serve as point person for special donor projects and follow up on internal communications and timelines.
- Assist with the following ongoing donor initiatives: events, mailings, capital campaigns, peer to peer fundraising, Cars for Recovery, etc.
- Process in-kind donations and provide timely information to donors.
- Assist in donor communication by responding to and following up with various inquiries.
- Provide administrative support for SP staff and leadership:
- Attend and assist SP and MnTC events
- Assist with mailing and solicitation projects, such as donor anniversary cards and year-end giving
- Assist the gift processing team during periods of high volume
- Update donor records in Raiser’s Edge
- Process invoices
- Order departmental office supplies
- Execute team acknowledgements and other various team duties
Required Skills & Experience (Minimum Qualifications):
- At least 1 year of related experience; office administrative experience highly preferred
- Ability to balance multiple competing priorities and complete tasks in a timely manner
- High level of organizational skills, attention to detail, and follow-through
- Ability to take initiative, work efficiently behind the scenes, and have high output
- Excellent interpersonal skills: the ability to work effectively and diplomatically with donors, mentors, volunteers, and colleagues
- Excellent oral and written communication skills, including the confidence to make phone calls
- Knowledge of Microsoft Office applications (Outlook, Word, Excel, PowerPoint) & Raiser’s Edge
- Available to work on occasional evenings and weekends, as needed
- Possession of a valid driver’s license and a clean driving record
- Must be comfortable working with people with life-controlling challenges, including addiction and mental health

- Prolonged periods sitting at a desk and working on a computer.
- Must be able to lift up to 10 pounds at a time.
Schedule:
Monday-Friday, 8:00am-4:30pm
Occasional nights/weekends
Target Compensation Range (Negotiable based on Qualifications):
$19.00-$22.00/hour
