Position Description : We are seeking an experienced, detail-oriented Payroll Specialist committed to process improvement.

Ideal Candidate : The ideal candidate is organized, analytical, and committed to customer experience and efficient delivery.

Compensation : The pay rate for the Payroll Specialist, across the listed offices, generally ranges between $75,000 and $100,000 annually. This range is a good faith estimate provided pursuant to pay transparency laws. Actual pay rates will be based on various factors, including location, company geographic differentials, education level and candidate qualifications.

Job Summary : This role works across Human Resources and Accounting, ensuring accurate and timely payroll processing while managing payroll-related benefits, incentive compensation programs and payments, and 401(k) administration.

Key Responsibilities :

Payroll Management :

  • Process semi-monthly payroll for all employees. Meet payroll cycle deadlines and comply with federal, state, and local regulations.
  • Set up new hires and terminations in the accounting system.
  • Handle payroll discrepancies, adjustments, and employee inquiries efficiently and effectively.
  • Reconcile monthly payroll Journals with total salary and payroll expenses to the master control payroll register and General Ledger accounts.
  • Maintain accurate records, including timekeeping data, tax withholdings, and other deductions.
  • Participate in monthly and annual payroll close activities. Prepare and submit payroll tax filings, including W-2 and 1099 forms.

Benefits Administration :

  • Manage benefit election changes for payroll-integrated benefits.
  • Resolve employee benefit inquiries related to payroll deductions.
  • Fund healthcare savings accounts.
  • Incentive Compensation Payments :

  • Process and track incentive compensation payments and stock purchase elections in line with company policies and schedules.
  • Collaborate with HR and management to calculate and disburse performance-based rewards.
  • 401(k) Plan Administration :

  • Facilitate timely deduction of employee 401(k) contributions, and timely and accurate transmission to the plan provider / trustee.
  • Reconcile 401(k) deductions and contributions each pay period.
  • Work with third-party administrators to ensure compliance with ERISA and IRS regulations.
  • Address employee questions about 401(k) contributions, loans, and distributions.
  • Calculate and implement the Board-approved profit-sharing contributions based on eligible compensation.
  • Work with third-party administrators (TPAs), recordkeepers, and auditors for compliance testing and annual reporting.
  • Generate required documents for management and annual audit process.
  • Assist with annual non-discrimination testing.
  • Compliance and Reporting :

  • Participate in the annual audit process by providing the requested documents.
  • Ensure compliance with payroll laws and regulations, including wage and hour laws.
  • Prepare payroll-related reports for internal stakeholders and audits.
  • Stay current on changes in tax laws and regulations affecting payroll and benefits.
  • Qualifications :

  • Bachelor’s degree in accounting, finance, human resources, or a related field. (preferred)
  • 3 years of payroll administration experience, including processing payroll across multiple states with a strong focus on California compliance.
  • Proficiency in payroll systems (e.g., ADP, Paychex, Workday) and Microsoft Office Suite.
  • Demonstrated ability to identify inefficiencies and implement streamlined payroll processes.
  • In-depth understanding of federal, state, and local payroll laws, with expertise in California wage and hour regulations.
  • Excellent attention to detail, organizational skills, and problem-solving abilities.
  • Ability to handle sensitive information with discretion and professionalism.
