Job Description Summary
The purpose of the Records Analyst is to manage the deployment and routine implementation of the term schedule and assist with the timely submission of Coordinating Board Management (CBM) and Financial Aid for Swift Transfer (FAST) reports.
In addition, the Records Analyst is an authoritative information source to faculty, administration, staff, and others regarding scheduling policies and procedures. This position will perform data entry, ranging from routine to complex.

Minimum Qualifications
Associate’s degree AND three (3) years related office/administrative work experience

Required Job Knowledge, Skills, Abilities
Proficient computer skills and working knowledge of databases with experience in Microsoft 365.
Excellent communication skills (both written and verbal).
Knowledge of Guidelines for Instructional Programs in Workforce Education (GIPWE) and Workforce Education Course Manual (WECM).
Ability to maintain the confidentiality of work-related information and materials.
Ability to create graphs and spreadsheets to review data.
Accuracy and attention to detail.
Ability to work with detailed information from a variety of sources.
Possess strong organizational and interpersonal skills.
Sufficient human relations skills to work collaboratively, resolve problems, and explain technical and procedural concepts.
Strong customer service skills.
Ability to work in a fast-paced, deadline-driven environment.

Preferred Qualifications
Three (3) years of experience working in a student services environment at a higher education institution is preferred.

Job Duty
Extract, correct, and submit data to the Texas Higher Education Coordinating Board.
Minimize data errors by consulting with state reporting officials concerning problems; track errors and correct misreported information; compile data and complete reports for self-reporting.
Regularly reviews and redevelops internal processes, procedures, and websites.
Recommends procedural updates as state and federal policies change and evaluate effectiveness.
Translating newly implemented compliance policies and codifying the student information system to reflect updates.
Develop and maintain standard operating procedures for reporting processes.
Work closely with representatives from the Information Technology, Institutional Research, and various departments to review data elements for accuracy, validate report data, and make corrections.
Reports include but are not limited to reports submitted to the Texas Higher Education Coordinating Board (THECB).
Perform/monitor monthly internal audits on reports submitted to the Texas Higher Education Coordinating Board (THECB).
Job Duty
Working with Deans, Chairs, and various departments to resolve schedule questions and corrections with data.
Reviews and analyzes data to inform decision-making regarding adherence to standard meeting requirements, and best practices.
Informs and makes recommendations to Registrar Office leadership regarding areas of need.
Maintain organized and transparent files associated with reporting and the term section schedule.

Responsible for researching federal, state, and institutional policies and ensuring compliance with those policies.
Responsible for complying with policies governing the institutional calendar, FERPA, and report processing.
Ensure confidentiality and integrity of student records in accordance with FERPA.
