Job Summary
We’re excited to add a Treatment Coordinator to our dedicated and compassionate dental team! This vital role ensures a seamless and supportive experience for every patient, from consultation to treatment completion.
As our Treatment Coordinator, you'll be responsible for coordinating treatment plans, managing patient communications, and handling the administrative tasks that keep our practice running smoothly. The ideal candidate is organized, detail-oriented, and has a strong grasp of dental office operations. Excellent communication skills are a must — you’ll be working closely with both patients and team members to ensure every visit is a positive one. If you have clinical dental experience and are EFDA certified, that’s a big plus! We may occasionally need help in the back office, and we value team members who are flexible and cross-trained.
Responsibilities
Patient Communication and Education
- Explain Treatment Plans: Clearly communicate treatment options, procedures, and the benefits of recommended treatments.
- Educate on Out-of-Network Benefits: Help patients understand how their insurance works out-of-network and how the practice can still accommodate their needs.
- Build Trust and Rapport: Establish strong relationships with patients to ensure confidence in the practice’s services.
Financial Coordination
- Provide Cost Estimates: Accurately calculate treatment costs, insurance reimbursements, and out-of-pocket expenses.
- Discuss Payment Options: Present financing solutions like third-party options (e.g., CareCredit, Cherry Financing) and in-house plans to make treatments accessible.
- Handle Insurance Submissions: Submit insurance claims on behalf of patients and track reimbursements, explaining timelines and processes.
- Collect Payments: Ensure payments are collected before or at the time of service.
Administrative Duties
- Track Case Acceptance Rates: Monitor and follow up on pending treatment plans to improve case acceptance.
- Maintain Accurate Records: Ensure patient records, treatment plans, and financial agreements are up-to-date.
- Coordinate with the Dental Team: Work closely with dentists and hygienists to schedule treatments effectively.
Marketing and Patient Retention
- Promote Practice Value: Highlight the quality of care, advanced technology, and personalized attention offered at the practice.
- Follow-Up Communication: Call or email patients with unscheduled treatments to encourage booking appointments.
- Implement Referral Programs: Encourage patients to refer friends and family, explaining any incentives offered.
Problem Solving
