Key Responsibilities:
Reception and Customer Service:
- Answer and direct incoming phone calls promptly and professionally.
- Greet employees, guests, and vendors, ensuring a positive and welcoming experience.
- Address inquiries or direct them to the appropriate department.
Human Resources:
- Perform general HR duties.
- Handle confidential information with discretion.
Facility and Conference Room Management:
- Ensure conference rooms are clean, organized, and fully stocked with necessary supplies.
- Coordinate with staff to prepare conference rooms for meetings, including arranging seating, technology setup, and ordering lunch when needed.
Communication and Collaboration:
- Serve as a central point of contact for internal and external communications.
- Collaborate with other departments to support daily operations and special events and meetings.
Administrative Support:
- Manage and update the Google Calendar, including scheduling and organizing conference room bookings.
- Monitor and maintain compliance with the National Do Not Call list.
- Provide general administrative support to other departments as needed.
Food Truck Coordination:
- Schedule and communicate with food trucks to ensure a variety of meal options for staff.
- Create and share a schedule of food truck visits with employees.
Kitchen and Coffee Area Maintenance:
- Restock the kitchen with supplies such as creamers, coffee, tea, utensils, and other essentials.
- Communicate with Jean regarding what supplies are needed.
- Maintain cleanliness and organization of the kitchen and coffee areas.
