Position Overview:
The Front Desk Receptionist is a vital part of our medical team, providing a positive and welcoming experience for patients and visitors while ensuring smooth operations of the clinic. This role requires an individual with excellent communication skills, strong attention to detail, and the ability to work in a fast-paced, patient-focused environment. The Front Desk team member will manage both inbound and outbound communication, efficiently handle patient intake, maintain patient confidentiality, and support the clinic’s daily administrative functions.
Key Responsibilities:
1. Positive Patient Experience:
- Greet and check in patients as they arrive for appointments, ensuring a warm, friendly, and professional atmosphere.
- Answer phone calls promptly, address patient inquiries, and provide relevant information regarding appointments, services, or insurance questions.
- Ensure all patients feel comfortable and respected throughout their visit, providing clear instructions or directions as needed.
2. Efficient and Accurate Patient Intake:
- Collect and verify patient information, including personal details, medical history, insurance information, and consent forms.
- Accurately enter patient data into the clinic's Electronic Health Records (EHR) system, ensuring all information is up-to-date and complete.
- Schedule patient appointments, ensuring the correct times and providers are selected and providing reminders as necessary.
3. Protect Patient Confidentiality:
- Maintain strict adherence to HIPAA guidelines to ensure patient privacy and confidentiality at all times.
- Safeguard sensitive patient information, handling it securely in all written, electronic, and verbal communications.
4. Team Task Support:
- Assist clinical and administrative teams with day-to-day tasks, such as preparing patient charts, processing referrals, or coordinating with other departments.
- Act as a liaison between patients, medical staff, and insurance companies to ensure effective communication and streamlined clinic operations.
- Support other front desk duties, such as filing, organizing medical records, and assisting with medical billing as needed.
5. Adhere to Delaware Spine & Interventional Pain Protocols:
- Follow clinic-specific training and protocols related to patient intake, data entry, appointment scheduling, and customer service.
- Participate in ongoing training to stay current with procedures, software, and industry standards.
Qualifications:
- High school diploma or equivalent; additional administrative or healthcare certifications are a plus.
- Experience in a medical office or healthcare setting preferred, but not required.
- Familiarity with Electronic Health Records (EHR) systems and appointment scheduling software.
- Strong communication skills (both written and verbal).
- Ability to multitask and prioritize in a busy, patient-centric environment.
- Demonstrated professionalism, empathy, and a patient-first attitude.
- Knowledge of HIPAA regulations and commitment to maintaining patient confidentiality.
Physical Demands:
- Ability to sit or stand for extended periods.
- Occasional lifting of files or office equipment (up to 25 pounds).
- Regular use of a computer and phone systems.
