Summary Statement
An incumbent is responsible for providing administrative support to the vice president for information technology in a variety of operational areas; including writing and coordinating documents, reports, and presentations, purchasing activities associated with collegewide information technology, and communicating with internal and external stakeholders on behalf of the vice president for information technology.
Nature and Scope
An incumbent in this position reports directly to the vice president for information technology. The incumbent provides support in areas that include, but are not limited to those listed in the summary statement as well as disseminating information and requests : preparing various reports and presentations; assisting in budget preparation and development by maintaining records and / or compiling data; performing special projects and studies; obtaining, organizing, and drafting administrative materials; and serving as a liaison between the vice president for information technology and faculty and staff, external agencies.
Principal Accountabilities
An incumbent may perform any combination of the below listed accountabilities :
- Serves as the confidential principal assistant to the vice president for information technology in a variety of operational areas.
- Maintains daily appointment calendar for the vice president of information technology. Arranges staff meetings for the information technology division, collegewide directors’ meetings as well as operational meetings and special collegewide committees as needed.
- Prepares and sends written and electronic correspondence on behalf of the vice president for information technology and information technology staff and communicates verbally and in writing with internal and external stakeholders, including but not limited to President’s Council and other divisions’ assistants.
- Assists in the development and management of the information technology annual budget for campus administrative counsel and ensures fiscal and purchasing guidelines are adhered to by submitting necessary paperwork in a timely manner such as invoices, reconciliations, and travel.
- Keeps current IT organizational charts, contract renewal dates, and other related policy repositories.
- Provides support for the collegewide information technology division’s initiatives and operations including gathering, analyzing, and summarizing relevant information; preparing documents, reports, and presentations; maintaining records and files and coordinates division meetings, including the preparation and distribution of supporting documents such as agendas and minutes.
- Researches, writes, and prepares presentations in collaboration with the vice president for information technology.
- Facilitates processing and approval of transactional / operational documents in keeping with the College signature authority as well as College and State procurement procedures as appropriate.
- Assists with special projects and events and performs other related duties as required.
Knowledge Skills and Abilities
Minimum Qualifications
Associate degree in a relevant field and four (4) years of responsible administrative support experience; or other equivalent combination of education and experience.
