THIS POSITION IS TUESDAY-SATURDAY.
Busy medical and cosmetic Dermatology practice in east Delray beach seeking an experienced, personable patient-care focused front office associate to help with incoming phone calls, insurance verification, check in and check out. Must have previous medical office experience. Prefer previous dermatology experience but willing to train the right person. Must be a team player, able to multi-task and work well with others andpersonable with patients.
POSITION: Front Office Associate
DEPARTMENT: Front Office
REPORTS TO: Operations Supervisor
JOB SUMMARY: Responsible for patient check-in, check-out, and scheduling, treating all patients in a professional and courteous manner. Reviews patient charts to verify necessary information and signatures have been obtained. Enters new patient information into computer. Ensures the patient feels welcome to the practice.
EDUCATION AND EXPERIENCE:
- 2 year AAS degree or equivalent.
- one-year minimum experience in medical practice.

RESPONSIBILITIES:
1. Patient Check-In
- Responsible for patient check-in, greeting each patient in a pleasant and professional manner.
- Electronically checks patient in on the schedule.
- Gives new patient paperwork to new patients for completion.
- Scans patient insurance cards and identification.
- Tracks patients in the reception area and communicates with them as needed.
- Evaluates data to verify all information has been received and completed, and signatures obtained.
- Scans new patient forms into computer systems.
- Enters all new patient demographic information into the computer.
- Puts superbill in file for specific physician or technician and notifies the necessary individuals to ensure transfer of care- either electronically or in person.
2. Administrative
- Places telephone calls to patients to confirm upcoming appointments and verifies information required of the patient at the time of appointment.
- Places telephone calls to no-show appointments; reschedules as needed.
- Confirms patient portals have been activated.
- Sends previous day chart notes to primary care physicians.
- Provides support on telephones.
- Inspects reception room for neatness.
- Performs other duties as required.
- Assists other front office personnel as needed.
3. Patient Check-Out
- Processes patients at conclusion of visit ensuring the focus is on the patient. Reviews fee sheets for correct charges marked, calculates payments if not written.
- Collects balances, applies credits, and post payments, writing them on transaction sheet. Make notes in CareCloud for prepayments.
- Ensure all cosmetics, products and packages purchased are processed in Flex.
- Scan quotes, superbills, and membership paperwork into computer systems.
- Enter memberships on Excel sheet and make notes is CareCloud
- Discuss any cosmetic/products that are recommended on quotes.
- Schedules return appointments/recalls for follow-up.
- Write Rx as these products are sold and attach to end of day batch.
- Balance end of day transactions (batch) and complete CASH sheet.
- Ensure patient satisfaction.
