Job Summary:
The Administrative Assistant facilitates the efficient operation of the corporate office by performing a variety of clerical and administrative tasks. Performs administrative duties, maintains records and files. Position requires knowledge of employment law and Company policies/procedures. The position also requires the ability to successfully multi-task along with a high level of discretion with sensitive information, and independent judgment. Requires the ability to handle all front office functions.
Duties& Responsibilities:
· Answers and transfers phone calls, screening when necessary.
· Welcomes and directs visitors and clients.
· Maintains filing systems as assigned.
· Retrieves information as requested from records, email, minutes, and other related documents; prepares written summaries of data when needed.
· Responds to and resolves administrative inquiries and questions.
· Coordinates and schedules travel, meetings, and appointments for managers or supervisors.
· Prepares agendas and schedules for meetings.
· Records and distributes minutes or other records for meetings.
· Maintains office supplies and coordinates maintenance of office equipment.
· Maintains a system for recording expenses and the use of petty cash.
· Conducts business with the highest degree of honesty, integrity, and professionalism.
· May direct the work of clerical employees in lower job classifications.
· May assist in training newly hired associates.
· Assists with some recruitment and interviews.
· Assists in coordinating company events throughout the year.
· May support with other departments projects within the office as needed.
· Performs other related duties as assigned.
Required Skills & Abilities:
· Excellent verbal and written communication skills.
· Excellent interpersonal and customer service skills.
· Proficient in Microsoft Office, Excel, Word, Power Point, or related software.
· Excellent organizational skills and attention to detail.
· Basic understanding of clerical procedures and systems such as recordkeeping and filing.
· Ability to work independently.
· Must have the ability to operate with a very high degree of freedom within the framework of recommended Corporate Policies.
· Data Gathering and Analysis - survey administration and analysis.
Education and Experience:
· Associate’s degree required; Bachelor’s degree in related field preferred.
· 1-3 years of experience in an administrative role.
Physical Requirements:
· Requires the ability to sit for long periods of time, with frequent interruptions, getting up and down from chairs.
· Requires manual dexterity with normal hand and finger movements for typical office work.
· Requires the use of various electronic tools.
· Must be able to lift to 15 pounds at times.
