The Operations Coordinator plays a vital role in ensuring the smooth execution of field operations. This position involves coordinating various operational activities, managing schedules, and facilitating effective communication between departments. The Operations Coordinator ensures that projects run efficiently, meeting client expectations for manpower and timely completion. Strong organizational skills, attention to detail, and proactive problem-solving abilities are essential for success in this role. The Operations Coordinator must also possess excellent communication skills and the ability to multitask in a fast-paced environment. By overseeing the coordination of resources and schedules, this role helps drive operational efficiency and ensures that projects meet high standards of quality and client satisfaction.
Essential Duties and Responsibilities
Project Planning and Coordination:
· Manage field schedules to ensure projects are completed on time and deadlines are met.
· Conduct weekly scheduling meetings for all active jobs:
· Assign field personnel to specific jobs based on their location, skill level, and experience.
· Assess the capabilities of all field personnel to make informed decisions for optimal field assignments.
· Assess and understand the job details such the location, duration of the project, labor hours, and daily schedule and shift requirement.
· Understand project needs prior to the scheduling meeting.
· Collaborate with the Foreman and Account Managers to ensure the manpower needs are met.
· Coordinate and communicate travel arrangements specific to the project.
· Facilitate communication between Account Managers, Foremen, and Field Electricians.
· Serve as the main point of contact for Foremen, Field Personnel, and Account Managers for project scheduling needs and emergency field support.
· Communicate the “Weekly Schedule” via email to specific office and field personnel.
· Ensure all manpower scheduling and activities conform to the Company’s standard, as well as to local, federal and industry standards.
· Review and approve PTO requests of Electrical Trainees.
Business Development Support:
· Analyze weekly sales team performance metrics using Outlook Calendars, Salesforce and Job Information Sheet (activity, profit, sales, etc.) and track on ETW
· Assist in the execution of specific marketing tasks as outlined by the marketing department, including various customer campaigns, social media and website content, and First Fruits, our charitable giving program.
General Operations Coordination:
· Reconcile Job Sheets to timecard submissions weekly for payroll processing.
· Support Job Processing.
· Support for Prequalification questionnaires and COIs for customers.
· Maintain and update the Attendance Sheet.
· Provide assistance in the hiring process of field personnel and in organizing job fairs.
· Monitor and record the monthly hours worked by Electrician Trainees.
· Coordinate with Foremen on performance evaluations and feedback for Journeymen and Electrical Trainees, identifying areas for improvement and provide performance improvement plans to promote growth, career advancement, and recognize achievements.
· Act as the point of contact for ABC School enrollments, class schedule, and attendance both for new and existing students.
· Tablet Management – tablets used by Journeymen and Foremen.
REQUIREMENTS AND QUALIFICATIONS
· Must have a high school diploma or GED certification.
· Proven experience in operations coordination, ideally within the electrical contracting or construction industry.
· Must have strong time management and organizational skills.
· Must be an effective communicator with strong oral and written communication skills.
· Must have strong interpersonal skills to effectively address organizational challenges and problem-solving needs.
· Proficient in construction and/or project management software and Microsoft Office Suite.
· Must be willing to travel out of state.
· Knowledgeable in the industrial electrical industry’s safety practices and regulations.
OUTCOME BASED RESPONSIBILITIES
· Central point of contact between office and field for all job-related needs
· Monitor project progress and address any delays promptly
· Identify and implement process improvements with keeping track of electrician certification, training, customer training, and documentation requirements to avoid project delays.
· Focused on finding solutions and being agile with the schedule to facilitate as much work being completed as possible
Job Type: Full-time
Pay: $70,000.00 - $80,000.00 per year
