Key Responsibilities:
- Oversee and manage daily office operations to ensure efficiency and productivity.
- Supervise administrative staff, including hiring, training, and performance management.
- Maintain office supplies and equipment, ensuring proper inventory levels.
- Coordinate meetings, appointments, and travel arrangements for staff.
- Manage office budgets, expenses, and vendor relationships.
- Handle correspondence, including emails, phone calls, and mail.
- Ensure compliance with company policies and procedures.
- Organize and maintain physical and digital files, including legal case files and client records.
- Facilitate communication between departments and management.
- Oversee scheduling and calendar management for attorneys.
- Support HR tasks such as onboarding, payroll coordination, and benefits administration.
- Ensure confidentiality and compliance with legal procedures and regulations.
- Coordinate with legal staff to manage deadlines and ensure timely case progression.
- Liaise with external vendors, court personnel, and clients as needed.
- Assist in managing client intake processes and ensuring a high standard of client service.
Qualifications:
- Over 5 years of management experience, including managing teams of over 20 people.
- Proven experience as an Office Manager, Administrative Manager, or similar role, preferably within a law firm.
- Excellent organizational and leadership skills.
- Strong communication and interpersonal abilities.
- Proficient in Microsoft Office Suite and office management software.
- Fluency in Mandarin is highly preferred.
- Ability to multitask and prioritize tasks effectively.
- High attention to detail and problem-solving skills.
- Bachelor's degree in Business Administration or related field preferred.
Salary: $100,000 - $150,000/year
