Assistant Director, Programs

Under the guidance of Director of Leadership Development Programs, the Assistant Director, Programs will serve as an integral part of Democracy House's Programs team, providing program support including planning, coordination, facilitation, and communication to our pro-democracy leadership development programs for young people, ages 18 to 25, to strengthen, defend and improve democracy.


As a key member of the programs team, the Assistant Director, Programs will work on the full life-cycle of all leadership programs, from outreach and application to delivery and evaluation, supporting and engaging program participants, alumni, community partners, and academic colleagues to ensure meaningful and mutually beneficial relationships.


Democracy House is a made up of a small team of committed individuals, and the ideal candidate for this role will be comfortable wearing many hats and be able to work independently in a start-up environment. PROGRAM SUPPORT (60%)

  • Facilitate and moderate program meetings and events for small to large groups (4 to 100 people).
  • Manage program logistics including: application platform and communications for full program life cycle, program outreach and marketing (in coordination with communications team), program participant communications.
  • Support program curriculum and contribute to new program design. Act as a partner in efforts to develop new programs, including pilot programs and researching creative event and speaker ideas.
  • Responsible for program data collection and coordination to continuously improve programs, ensuring diverse perspectives are considered and learning objectives are achieved.


ADMINISTRATION (25%)

  • Maintain records on program activities, progress, status, and post-program reporting, and assist with planning documents (e.g. briefings, slide decks, follow up materials). Responsible for data in Democracy House's CRM related to programs, including guest release forms and retention of other program data, such as attendance and audience feedback.
  • With various members of the team, develop and implement new processes, platforms, or systems improvements to increase efficacy and coordination (e.g., using project management software, such as Salesforce, SurveyMonkey Apply, or updating a shared calendar system)
  • Draft, edit and proofread a variety of written materials, with close attention to detail.
  • Support program event planning for virtual and in-person events, including travel management.
  • Manage billing and invoicing.

OTHER (15%)

  • Conduct one-to-one outreach with relevant community constituents and cultivate strategic relationships with youth organizations, campus leaders and relevant community programs.
  • Problem-solve to determine appropriate courses of action, meet deadlines, and ensure processes move smoothly.
  • Oversee seasonal interns and program staff.
  • Other duties as assigned.

SKILLS & EXPERIENCES

  • Able to keep the big picture in mind, while executing on small details.
  • Self-directed and motivated. Demonstrated ability to achieve goals, excellent organization and follow-through, with close attention to detail.
  • Knowledge of budgeting. Some experience with budget oversight and budget development preferred.
  • Experience in project and program planning and execution; presentation and facilitation skills both in-person and online.
  • Excellent written and verbal communication skills, and a bias towards action and problem-solving.
  • Strong interpersonal skills, and proven ability to build relationships with stakeholders, including program participants, staff, board members, and external partners who bring a diversity of perspectives and lived experience.
  • Experience supervising interns, seasonal employees, or others
  • At least 5 years of experience working with young people and educational, community building, and/or leadership programs.
  • Knowledge of and/or experience in the non-partisan civic space, ability to engage people in Democracy House's mission and work with people from a variety of backgrounds.
  • Technology: Comfortable using Microsoft and Google suites, experience using a CRM (Salesforce preferred), application platforms (Typeform, SurveyMonkey Apply, etc), and online engagement tools (Zoom, Slack, etc).
  • Bachelor's degree preferred
