Dennis & Co Auto Group is seeking an experienced Executive Assistant to join the team.
The Executive Assistant will be the primary support for the CEO, ensuring seamless coordination of daily activities, calendar management, and strategic administrative support. Additionally, the EA will assist other corporate executives as needed. This role requires exceptional attention to detail, discretion, and the ability to manage multiple priorities in a fast-paced environment.
Key Responsibilities
Executive Support for CEO (Primary Focus)
- Proactively manage the CEO’s calendar, scheduling meetings, travel, and appointments with efficiency and foresight.
- Act as the gatekeeper, prioritizing and screening incoming requests, correspondence, and calls.
- Prepare executive-level presentations, reports, and briefing materials for meetings.
- Coordinate internal and external meetings, including board meetings and leadership team gatherings.
- Handle confidential and sensitive information with the utmost professionalism and discretion.
- Ensure the CEO is well-prepared and informed for all engagements.
Support for Corporate Leadership
- Assist with calendar management, travel coordination, and administrative needs for the executive team.
- Organize and prepare materials for operational meetings, ensuring agendas and follow-ups are executed efficiently.
- Liaise with dealership leaders and corporate departments to ensure smooth communication and workflow.
Office & Project Management
- Manage special projects as assigned, including event planning, executive offsites, and company-wide initiatives.
- Oversee expense reports, invoices, and financial reconciliation for executive expenses.
- Foster relationships with key stakeholders, both internally and externally.
- Support HR, legal, and finance teams with document management and executive approvals as needed.
Qualifications & Requirements
- 5 years of experience as an Executive Assistant supporting C-suite executives, preferably in a fast-paced or multi-location business environment.
- Automotive industry experience is a plus but not required.
- Outstanding calendar management and organizational skills.
- Strong written and verbal communication skills, with the ability to draft professional correspondence and reports.
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and other productivity tools.
- High level of discretion and confidentiality.
- Ability to anticipate needs, problem-solve, and adapt to shifting priorities.
- A proactive, self-starter mentality with excellent attention to detail.
- Ability to work in a fast-paced environment and manage multiple tasks simultaneously.
