Position Overview
We are seeking a dynamic, detail-oriented Event Planner to join our team at TX Retreat. The ideal candidate will be responsible for overseeing all aspects of event planning, from initial client consultation, providing quotes, receiving deposits, managing the calendar to final event execution. This includes event coordination, marketing, sales, and oversight of our Customer Relationship Management (CRM) software. The Event Planner will work closely with clients to craft memorable, seamless events that reflect the TX Retreat brand and meet the diverse needs of our guests, all while being part of a unique, animal-friendly environment.

Key Responsibilities:

  • Event Planning & Coordination: Lead and manage the planning and execution of a variety of events, including weddings (ranging from 25 to 250 guests), corporate events, family reunions, group hunts, and other special gatherings.
  • Client Consultation & Relationship Management: Serve as the primary point of contact for clients, providing personalized service and ensuring their vision is brought to life. Maintain ongoing communication to address any changes or needs throughout the planning process.
  • Sales & Marketing: Develop and execute marketing strategies to promote TX Retreat as a premier event venue. This includes managing social media accounts, website updates, and outreach to potential clients. Collaborate with the sales team to drive bookings and grow the venue’s event business.
  • Event Oversight: Oversee all logistics on the day of events, ensuring that everything runs smoothly. Coordinate with vendors, staff, and clients to ensure seamless event execution. Troubleshoot any issues that arise to ensure client satisfaction.
  • Budget & Vendor Management: Create and manage event budgets. Source, negotiate, and manage vendors (caterers, florists, entertainment, etc.) to ensure that all aspects of the event meet the client’s expectations and remain within budget.
  • CRM & Documentation: Use CRM software to track leads, manage client communications, and ensure that all event details are documented accurately for future reference.
  • Team Collaboration: Work closely with the operations team, including catering, maintenance, and service staff, to ensure events are executed flawlessly.
  • Animal Interaction: Embrace the unique charm of TX Retreat’s animals, including our beer burros, wallabies, friendly goats, ducks, and chickens. Help incorporate these animals into events when appropriate, whether as part of a photo op, petting zoo experience, or other special moments. Ensure that guests enjoy safe, enjoyable interactions with the animals during their event.

Qualifications:

  • Experience: Minimum of 3-5 years of experience in event planning, with a proven track record of successfully planning and executing a wide range of events, especially weddings and corporate events. Experience working at a ranch or outdoor venue is a plus.
  • Organizational Skills: Exceptional organizational skills with a keen attention to detail. Ability to manage multiple events and clients simultaneously.
  • Software & CRM: Proficient in event management software, CRM platforms, and Microsoft Office Suite (Excel, Word, PowerPoint). Familiarity with event management tools and social media platforms is highly desirable.
  • Strong Communication Skills: Excellent verbal and written communication skills. Ability to work with diverse clientele and vendors in a professional and approachable manner.
  • Customer Service Focus: A client-first mentality, with a passion for delivering exceptional service and creating memorable experiences.
  • Location: Must reside within 45 minutes of TX Retreat in Gatesville, TX, as you will be responsible for overseeing the day-to-day operations of events, marketing, and sales.
  • Flexibility: Ability to work evenings and weekends as needed to accommodate event schedules.
  • Animal Lover: Must be comfortable with and enjoy being around animals, as the TX Retreat’s unique animal family will be part of the experience for many events.

Pay:

$45,000 to $55,000 base plus uncapped commission based upon achieving budget goals, profitability, 5 star reviews and upselling of services and products.
