Denver Botanic Gardens is currently seeking a Full Time Accounts Payable Coordinator in our Accounting and Finance Department! Read below to see if the requirements might be a good fit for you:
Position Summary
Under guided supervision, the Accounts Payable Coordinator performs a variety of detailed AP duties in accordance with standard accounting practices. Employs a strong understanding of AP methods, procedures, and terms.

General Duties and Responsibilities
- Processes payments and refunds to vendors using payment software.
- Monitors vendor statements, investigates billing errors, researches returned checks, and processes credit memos.
- Maintains, updates and onboards new employees with Corporate Account Vendors.
- Maintains, updates, trains new employees and post activity for UMB Corporate Card program.
- Maintains records of backup documentation per Denver Botanic Gardens' document retention guidelines.
- Assists in the monitoring and distribution of Form 1099-Misc and W9s.
- Provides training on Accounts Payable procedures as needed.
- Follows up on outstanding payments, resolves problems regarding payments and processes refunds to vendors.
- Verifies adequate backup documentation exists prior to authorizing the release of checks or ACH payments to vendors.
- Reconciles Accounts Payable sub-ledger month end reports to General Ledger.
- Aids and directs various departments in settling disputes with vendors arising from payment discrepancies.
- Contributes to the preparatory work and reporting for the annual audit.
- Maintains confidentiality of information.
- Coordinates with each department on proper procedures and training for Concur and Financial Edge.
- Aids departments during special events.
- Maintains satisfactory working relationships with managers, co-workers, and others.
- Maintains a positive helpful and solution-oriented demeanor when responding to or serving members and visitors.
- Electronically files all AP payments with back up documentation, all returned checks in number sequence and other e-filing as needed, reducing paper files.
- Regular attendance at the worksite may be required. As with all positions at Denver Botanic Gardens, the incumbent must be in good performance standing to be eligible for remote work. Remote work is at the discretion of management at all times.

Position Qualifications: Knowledge, Skills and Abilities
- Strong working knowledge of Microsoft Office 365 and navigation of accounting software.
- Must be detail oriented with good written, verbal communication, and human relations skills.
- Must have strong/expert skills in Microsoft Excel.
- Must have proven technical proficiency and be able to problem solve and think critically.
- Must have proven excellent customer service, interpersonal, and communication skills in dealing with the public.
- Ability to maintain stability under pressure and able to deal well with stressful situations.
- Ability to be flexible and willing to modify plans when necessary, throughout the day.
- Ability to work a flexible schedule, including evenings, weekends and/or holidays.
- Knowledge of Microsoft Suite products, specifically Word, Excel and Outlook and Teams.
- Ability to work overtime as necessary.
- Must be a positive representative of the Gardens both internally and externally at all times.
- Must work with respect and cooperation at all times with fellow employees and the public.
- Must be committed to working safely at all times.
Experience/Education:
- Associate’s degree in accounting and/or combination of education and equivalent experience is required.
- Minimum of 2 years of experience in Accounting and Finance is required.
- Minimum 2 years of general office experience.
- Experience in Financial Edge NXT or Safe Intacct preferred but not required.
- Non-profit or fund accounting experience desired.
Travel:
Up to 10% travel required. Requires the ability to travel to remote locations (or other Garden locations) where the environment may vary significantly.
