Job Description

Receptionist

This position supports the President and Admissions department and provides reception for customers on the phone and in person. As part of the college, the Receptionist is responsible to assist visitors, students, faculty and staff in a smooth and efficient manner, to adhere to all protocols in line with the college's goals, strategy, mission and values. The Receptionist reports to the Dean of Nursing Education Programs.

Classification

The Receptionist is a full-time, non-exempt position. Work hours may vary daily; evening and weekend hours may be required.

Physical and Mental Requirements

The Receptionist must be able to use a personal computer and other office equipment and work in an environment that can be fast-paced and stressful at times. The ability to multitask is a must. Being able to relate in a positive and upbeat manner with people face-to-face or over the phone is a necessary skill. This position requires physical mobility throughout the facility.

Qualifications

The Receptionist must be proficient in the use of Microsoft Office applications. The position requires an upbeat, professional individual who is a team player. Must be able to maintain a professional and friendly demeanor and represent the company in a professional manner with all students, faculty, staff and vendors. High school diploma required. Prior office and receptionist experience is a plus.

Responsibilities

Specific duties include, but are not limited to, the following :

  • Answers incoming telephone calls, determines purpose of calls and forwards call to appropriate personnel or department.
  • Retrieves messages from voicemail and forwards to appropriate personnel or department.
  • Takes and delivers messages or transfer calls to voicemail when appropriate personnel are unavailable.
  • Answers questions about organization and provides callers with address, directions, and other information.
  • Welcomes on-site visitors, determines nature of business, and announces visitors to appropriate personnel.
  • Monitors visitor access and issues passes when required.
  • Ensure knowledge of personnel whereabouts and maintain exact and complete sign-in / out procedures for visitors and on-site faculty and staff.
  • Track Admissions phone leads.
  • Opens facility.
  • Greet all visitors and answer inquiries.
  • Assist with ordering of office supplies as needed.
  • Receives, sorts, and routes incoming mail and publications.
  • Order meals for different college functions.
  • Take pictures to produce student and faculty / staff identification badges.
  • Maintain confidentiality of all business records and information.
  • Provides general clerical and administrative support to all levels of the college.
  • Consistently arrives to work on time; ensures work responsibilities are covered when absent.
  • Volunteers readily, undertakes self-development activities, seeks increased responsibility, asks for help and offers help when needed.
  • Handle day-to-day care of current students.
  • Refund money for vending machine errors.
  • Other duties as assigned
