Job Description
NYC Department of Finance (DOF) is responsible for administering the tax revenue laws of the city fairly, efficiently, and transparently to instill public confidence and encourage compliance while providing exceptional customer service.
Property Valuation and Tax Mapping is responsible for valuing more than one million properties in the city and overseeing assessments and valuations in a fair and equitable manner. The valuations enable the efficient and effective collection of property tax revenues for New York City.
The Division is seeking an individual for the Property Valuation & Tax Mapping – Executive Office who will perform a variety of executive administrative and personnel-related responsibilities. The selected candidate will report to the senior administrative staff of the Executive Office.
Responsibilities include, but are not limited to the following:
- Provide support to the Deputy Commissioner and to executive team members, to ensure that the division’s goals and objectives are implemented efficiently.
- Answer phones, manage executive's calendars, schedule meetings, compile weekly reports, monthly newsletters, presentations and other-format documents, using experience and judgment to decide what should be included in each document.
- Assist with recruitment and onboarding for the Property Valuation & Tax Mapping Office.
- Assist with the division's PS and procurement budget.
- Prioritize and produce high quality emails and messages to individuals at all levels of the organization.
- Collaborate with external units to schedule in person, and online meetings.
- Handle telephone, email and in person customer inquiries.
- Process and disperse mail and packages to the necessary parties.
- Manage and track the supply needs via the PASSPort system.
- Serve as a point of contact for resolving time and leave or facilities issues.
- Coordinate repairs and serve as a contact person for IT software, devices, and facility issues.
- Liaise with external departments on Taxpayer inquiries.
- Maintain comprehensive filing system; maintain accurate departmental records to ensure the integrity of the information.
- Support the Property Executive Office with special projects and other assigned tasks.

Minimum Qualifications
1. A baccalaureate degree from an accredited college and three years of satisfactory full-time progressively responsible clerical/administrative experience, one year of which must have been in an administrative capacity or supervising staff performing clerical/administrative work of more than moderate difficulty; or
2. An associate degree or 60 semester credits from an accredited college and four years of satisfactory full-time progressively responsible clerical/administrative experience including one year of the administrative supervisory experience described in "1" above; or
3. A four-year high school diploma or its educational equivalent approved by a State's department of education or a recognized accrediting organization and five years of satisfactory full-time progressively responsible clerical/administrative experience including one year of the administrative supervisory experience as described in "1" above;
4. Education and/or experience equivalent to "1", "2", or "3" above. However, all candidates must possess the one year of administrative or supervisory experience as described in "1" above. Education above the high school level may be substituted for the general clerical/administrative experience (but not for the one year of administrative or supervisory experience described in "1" above) at a rate of 30 semester credits from an accredited college for 6 months of experience up to a maximum of 3½ years.

- Experience serving in an Executive or Human Resources office. - Experience serving as an assistant to senior management. - High degree of professionalism in dealing with diverse groups of people, staff, and business partners. - Make appropriate, informed decisions regarding priorities and available time. - Ability to complete a high volume of tasks with minimal guidance. - Ability to react with appropriate levels of urgency to situations and events that require a prompt response. - Advanced organizational, communication and problem-solving skills. - Ability to handle sensitive information with discretion. - Proficient in Microsoft Outlook, Adobe Acrobat and with the entire MS Office suite systems. - Ability to utilize Adobe to create and convert files to other formats, and to insert or remove pages of unwanted material. - Knowledge of property valuation, exemptions and/or taxation policies. - Ability to locate information in ACRIS, and on the Tax Map. - Ability to track and filter correspondence on physical and electronic files.

Residency Requirement
New York City residency is generally required within 90 days of appointment. However, City Employees in certain titles who have worked for the City for 2 continuous years may also be eligible to reside in Nassau, Suffolk, Putnam, Westchester, Rockland, or Orange County.
