As an Administrative Specialist 2 – Staff Assistant in Salem, Oregon, you will assist the program manager for Wildlife Division Operations who is responsible for administrative support across the Operations, Game, and Conservation programs.
Duties include:
- Responsibility for development, maintenance, and tracking of contracts for Access and Habitat (A&H) program including state and federal funds
- Assist with administrative statute and rule research, analysis, and evaluation of new and existing data with the A&H program coordinator for the purpose of reporting to legislature, state and federal agencies, A&H Board, and stakeholders
- Develop, proof, and distribute reports and statistics related to A&H program and federal projects (e.g. VPA-HIP)
- Organize A&H State Board (Board) meeting logistics, notetaking and contract management, as well as providing direct support for the regional coordinators of the A&H Program
- Responsibility for preparing, editing, processing, tracking and researching data for other wildlife operations program grants and contracts
- Initiate the project contracts, amendments, tracking of reports and funds disbursements
- Initiate Auction Contracts annually with sporting groups
- Track signed agreements, current insurance forms, and verification of non-profit status
- Receives and directs telephone calls from agency personnel and the public and disseminate accurate information by interpreting and explaining complex wildlife laws, regulations, policies and procedures

WHAT WE ARE LOOKING FOR
Minimum Qualifications
Three years of secretarial or administrative support experience that includes coordinating office procedures, preparing narrative and statistical reports, and administrative data collection and analysis;
-OR-
An associate degree in general office occupations and two years of secretarial or administrative support experience that includes coordinating office procedures, preparing narrative and statistical reports, and administrative data collection and analysis;

An equivalent combination of education and experience.
Desired Attributes
- Experience formatting and producing reports in word processing and spreadsheet systems
- Strong customer service skills to a variety of customers, both verbally and in writing
- Experience with technical/biological terminology, ORS/OARs, and agency policies
- Experience tracking and monitoring contracts and budgets
- Experience coordinating public meetings
- Experience recording and producing meeting minutes and summaries
- Experience composing and reviewing/editing documents for accuracy, grammar, and punctuation
