The Oregon Department of Justice,
Child Advocacy and Protection Division
(CAPD) in the Medford Legal office is seeking to hire a seasoned Litigation Support Specialist (Office Specialist 1). Support Specialists with an eye for detail and thrive in a fast-paced environment will excel as part of our team whose mission is to protect abused, neglected, and abandoned children. This position offers an opportunity to request a hybrid work schedule upon the successful completion of onboarding and training. Approval of a hybrid schedule, with up to one (1) remote day, is dependent on the agency’s business and operational needs, as well as those of the agency’s customers and work team.
If selected to join us, you will be a key member of a team tasked with supporting the work of Section Assistant Attorneys General who provide daily litigation support and legal services for the Oregon Department of Human Services Child Welfare. What You Will Do (in part)
You’ll be entrusted to:
  • Process shared email folders containing discovery, court reports, and hearing information into electronic case management systems.
  • Review docket reports and calendar related hearings.
  • Open, close, and maintain physical and electronic filing systems.
  • Contact clients, agency staff, other agencies, or the members of the public (in person, writing, or by phone) to obtain necessary case information.
  • Read, sort, and distribute incoming mail.
  • Create, format, and proofread documents.
  • Respond to requests for general information and provide explanations to visitors and clients.
  • Maintain state cars.
  • Order, distribute, and maintain inventory office supplies.
Required Experience, Skills, Training

  • One year of general clerical experience that includes keyboarding, word processing, or other experience generating documents.
OR
  • An equivalent combination of experience and college coursework or training in a general office occupation.
Work experience is based on a 40-hour work week. (Example: 20 hours a week for one year would equal six-months of work experience.)
AND
  • Currently commissioned as a Notary Public in the State of Oregon OR able to become commissioned in Oregon within 6 months of appointment.
  • Have and maintain a valid driver’s license.
Desired Skills, Experiences, and Attributes
  • Demonstrated ability maintaining a professional and friendly composure in an environment with frequent interruptions.
  • Experience organizing and prioritizing work duties.
  • Experience performing data entry assignments efficiency and accurately.
  • Proficient in the use of computers, including Microsoft Office Suite and the ability to learn and effectively utilize specialized software applications.
  • Demonstrated effective oral and written communication skills.
  • Demonstrated ability to work under pressure with strict deadlines.
  • Experience maintaining confidentiality with sensitive case information.
  • Ability to work with graphic and potentially upsetting material.
Preferred Skills
Preference will be given to candidates with the following skills, knowledge, and experience.
  • Knowledge and experience working with the Oregon Judicial Case Information Network (OJCIN) and the Oregon eCourt Case Information Network (OECI).
  • Experience working with and supporting attorneys and other legal professionals or in public service.
  • Recent college graduates with critical thinking experience.
