Job Description
Key Responsibilities:
- Calendar Management:
Anticipate needs and ensure the Deputy Commissioner’s schedule is optimized for efficiency and productivity.
- Administrative Support:
Prepare and organize meeting materials, ensuring all necessary documents are available in advance.
- Briefing and Communication:
Maintain clear and effective communication internally and externally.
- Relationship Development:
Leverage these relationships to facilitate collaboration and ensure the office’s priorities are met efficiently.
- Priority Management:
Accurately determine appropriate follow-up actions, escalating matters to senior management when necessary.
- Complaint Documentation:
- Strategic Support:
Anticipate challenges and implement solutions with minimal supervision.
- Efficiency and Multitasking:
Minimum Qualifications
A baccalaureate degree from an accredited college and one year of experience as a secretary; or
An associate’s degree from an accredited college with a major in executive secretarial work and 3 years of experience as a secretary; or
A four-year high school diploma or its educational equivalent approved by a State’s department of education or a recognized accrediting organization and five years of satisfactory secretarial experience performing progressively responsible clerical/administrative work; or
A satisfactory equivalent combination of education and experience.
Preferred Skills
Proven experience as an Executive Assistant or in a similar role, preferably supporting senior leadership. - Strong organizational and multitasking skills, with exceptional attention to detail. - Outstanding written and verbal communication skills. - Demonstrated ability to build and maintain professional relationships. - Ability to handle confidential information with discretion and professionalism. - Proficiency in Microsoft Office Suite and scheduling software. - Experience in preparing briefing materials, presentations, and correspondence is highly desirable.
