Department:

Reports To: Practice Manager

Status: Full Time

Location: Multi Office (Kennesaw, Acworth, Marietta

Job Summary:

The Administrative Manager oversees administrative functions and ensures efficient and consistent operations to promote growth within the organization. Enforces compliance and effective communication with the administrative team and the organization.

Supervise, coach, and provide professional development of the administrative staff. Maintain regular communications with patient representatives to ensure the highest level of customer satisfaction.

Responsibilities:

  • Responsible for the day-to-day administrative operations of all locations
  • Responsible for leading all team administrative members to achieve efficient and effective operations
  • Set, write, and oversee administrative policies and protocols for the office
  • Determine patient workdays with the doctors at least 6-months ahead
  • Set goals and plan courses of action to achieve these goals
  • Provide safe and comfortable working conditions
  • Schedule and facilitate staff meetings and other team meeting agendas/protocols
  • Keep the team well-informed of changes within the organization
  • Effectively communicate relevant project updates and information to doctors and staff
  • Tactfully communicate sensitive information with team members
  • Act as liaison with the HOA in all matters regarding the building needs
  • Have a complete understanding of key practice reports (End of Day, End of Month Reports, Accounts Receivable, Adjustments, Deposit Reconciliation Reports, Ledger Reports, Patient Tracking Reports, Referral Reports, Call Metrics, etc.)
  • Ensure Patient/Customer service standards are upheld; patients are seen and dismissed on time, quality care, and patient experience
  • Inspire coworkers to attain goals and pursue excellence
  • Identify opportunities for improvement and team development, and make constructive suggestions for change
  • Motivate the team to work together in the most efficient manner
  • Work cohesively with fellow team members to provide an atmosphere of trust, mutual respect, and cooperation
  • Ensures all team members utilize practice software and tools appropriately
  • Track and oversee all vendor contracts
  • Schedules and creates agendas for outside parties who visit the practice

Education/Experience:

College degree or five years in management, preferably in dentistry or other relevant fields.

Skill/Abilities:

Leadership: Servant-leader/team first mentality; must lead by example; high emotional intelligence

Interpersonal: Exceptional communication, customer service skills, and the ability to build positive relationships with patients and team members.Good interpersonal skills to maintain effective rapport with patients, parents, doctors, other staff members, and the community.

Technical Skills: Use of computer, Microsoft office, practice management software

Writing Skills: Strong letter composition skills. Typing speed of 60 wpm. Legible handwriting.

Verbal Skills: Effective verbal skills. Good telephone techniques.

Problem Solving: Problem-solving approach. Attention to detail and follow through in managing staff, performing administrative assistant duties for doctors, etc.

Job Type: Full-time

Pay: $40,000.00 - $55,000.00 per year
