Job Summary
The Part-Time Safety/Security Clerical Support/Admin will provide essential administrative and clerical support to the Safety & Security Department. This role requires strong organizational skills, attention to detail, and the ability to manage financial, administrative, and operational tasks related to safety and security operations.
Essential Functions
Utilize Microsoft Office for document preparation and recordkeeping.
Learn and effectively use the Banner system to process requisitions, quotes, and invoices.
Understand and follow established finance processes and protocols within the department.
Order necessary items using a P-card, ensuring compliance with purchasing policies, and enter US Bank receipts/records before the designated deadlines.
Prepare invoices for processing, maintain an organized system of redundant records for tracking purposes.
Serve as a liaison between the department, Finance, and vendors, addressing any issues or concerns as needed
Attend department meetings, take notes, prepare meeting minutes, and provide follow-up documentation.

Schedule meetings and coordinate logistics under the direction of the Director of Safety & Security.
Assist with safety and security-related projects or special assignments as directed.
Monitor departmental emails, prioritize communications, and flag urgent messages for the Director’s attention.
Manage and maintain the Director’s calendar, ensuring seamless scheduling of meetings, events, and deadlines.
Required Qualifications
Proficiency in Microsoft Office Suite (Word, Excel, Outlook, Teams).
Ability to quickly learn and adapt to internal systems such as Banner and US Bank P-card reconciliation tools.
Strong organizational, communication, and multitasking skills.
Experience with meeting coordination, note-taking, and scheduling.
Ability to maintain confidentiality and professionalism when handling sensitive information.
Knowledge of basic financial processing and purchasing procedures is preferred.
Desired Qualifications
Associate’s degree. One year general office or secretarial experience.
Experience in a higher education or public safety setting is a plus.
Prior experience in clerical, administrative, or finance-related roles.
Familiarity with procurement procedures and financial documentation processes.
