JOB SUMMARY
Position is considered PRN (per diem, as needed, and with minimum commitment of four (4) shifts per month to cover vacant/open shifts.)
Under general supervision, provides front office administrative support for DSH. Administrative duties include but are not limited to answering phones and directing callers; assisting in-person visitors; handling mail, etc. Individual will be able to perform a variety of tasks under pressure while remaining calm and collected in times of crisis. Results and services of position may impact workflow or service within the department and may affect individual customer relationships.
Duties include but are not limited to:
Professionally greets all “visitors”/callers to DSH. Either assists individual directly or directs person to the appropriate person/division/department.
Assess and screen calls from the public to determine which service best fits their issue or need.
Sorts and distributes incoming mail as well as preparing outgoing mail and other correspondence.
Provides administrative support for DSH to include telephone coverage, copier projects, mail handling, filing, supplies control and necessary internal and external communications.
Prepares daily paperwork and/or administrative assignments, as needed, according to procedures. May be asked to prepare general correspondence, memos, charts, spreadsheets, reports, etc.
Calendaring/Scheduling: Schedules and keep track of meetings and other reservations for conference rooms.
EDUCATION AND/OR EXPERIENCE
Requires a High School Diploma or General Education Degree (GED). Two to three years’ experience in a front office / administrative position required. Experience in a hospital setting preferred.
COMPUTER SKILLS
Microsoft windows environment with Office Suite to include formatting and production of word processing documents, spreadsheets, and reports. Ability to use tools for video conferencing, as needed.
Certificates, Licenses, Registrations:
Required:
· Level one fingerprint clearance card in the State of Arizona or provide proof of application by hire date.
· CPR certification within 30 days of employment.
· CPI certification within 30 days of employment.

· Should be customer-service driven. Position requires demonstrated poise, tact and diplomacy along with the ability to handle sensitive and confidential situations.
· Should have a professional and personable demeanor.

· Requires an ability to work with numbers and mathematical concepts (adding, subtracting, etc.) on a regular basis.

WORK ENVIRONMENT:
This job operates in a hospital reception desk setting. This role routinely requires interaction with patients, visitors, documentation, and utilization of standard office equipment.
Regular attendance is required. Overtime including weekends may, at times, be required to fulfill duties of position. Individual must be able to work in a fast-paced environment with ability to handle and prioritize multiple, competing tasks and demands and to seek supervisory assistance as appropriate.
This position is on-site.
