Job Overview
We are seeking a highly organized and detail-oriented Event Sales Coordinator to join our dynamic team. The ideal candidate will have a passion for events and a strong ability to manage multiple tasks simultaneously. As an Event Sales Coordinator, you will be responsible for overseeing the planning and execution of various events, ensuring that all aspects run smoothly and meet client expectations. Your role will involve collaborating with clients, vendors, and team members to create memorable experiences.
Duties
- Assist the Sales Department in coordinating all aspects of assigned events, including logistics, timelines, and costs.
- Communicate effectively with clients to understand their needs and preferences for each event.
- Provide site tours to potential weddings and other social clients to showcase all that the Devens Common Center has to offer for their special day.
- Welcome group contact upon arrival at function and ensure guest satisfaction.
- Work in a timely manner to executive and distribute all Banquet Event Orders (BEO) and contracts as designated by Sales Managers.
- Assist the Banquet Manager as needed to oversee on-site event management, ensuring all details are executed as planned.
- Collaborate with banquet and restaurant staff to ensure catering needs are met.
- Utilize upselling techniques to enhance client experience and maximize event potential.
- Work closely with hotels within the complex to facilitate services agreed upon by the sales office and prospective clients.
- Monitor and handle inquiry calls for social events and provide client proposals in accordance with established departmental policies and procedures.
- Conduct post-event evaluations to gather feedback and improve future events.
Requirements
- Proven experience in event planning or customer service, preferably in a hotel or restaurant setting.
- Strong organizational skills with the ability to manage multiple projects simultaneously.
- Excellent communication skills, both verbal and written, to effectively liaise with clients and vendors.
- Ability to work flexible hours, including evenings and weekends as needed for events.
- A proactive approach to problem-solving with strong attention to detail.
This is a new role for our growing conference center and there is potential for this to move into a full time position in the future.
