Responsibilities:
- Prepare and format engineering specifications for submission in compliance with project procurement and client requirements.
- Submit design and construction documents to regulatory agencies, ensuring compliance with agency standards (see Appendix 1 for specific duties for North Carolina projects; similar duties would apply for other state authorities or regulatory agencies).
- Monitor project deliverable calendars and proactively support project managers for timely submissions.
- Serve as a professional point of contact with clients, confirming project milestones and addressing inquiries related to deliverables and deadlines.
- Prepare pre-bid agenda, pre-bid sign-in sheet, bid tabulation form, and bid opening sign-in sheets.
- Prepare and format site visit reports, incorporating input from engineers to ensure accuracy and completeness.
- Provide document control stamps and filing for shop drawings and Requests for Information (RFI), in compliance with procedures and consistent with project flow.
- Monitor and review engineering deliverables to maintain accuracy, organization, timeliness, and quality.
- Contribute to contract preparation and execution process as assigned.
- Contribute to project setup duties as assigned.
Qualifications:
- Minimum 5 years of experience in an administrative or project support role within the building design or construction industry.
- Familiarity with MEPS project specifications and editing Master Templates with documentation standards is a plus.
- Ability to edit all Front-End spec sections customized for each project.
- Competency in issuing Notices to bidders, including times and dates with a brief scope of work for pre-bid and bid openings.
- Proficiency in Microsoft Word and Excel; experience with specification software, project management software, and financial software (Ajera) is a plus.
- Excellent verbal and written communication skills and proficient typing skills.
- Strong organizational skills with the ability to manage multiple deadlines.
- Detail-oriented with a commitment to delivering high-quality, organized project documentation.
