What We Are Looking For
We are seeking a motivated and detail-oriented Administrative Assistant - Adult Services to provide administrative and reception support for adult services and centralized reception at our Woodruff campus. This role involves maintaining client-related data, scheduling meetings, ensuring compliance tracking, and supporting the adult services leadership team.
What You Will Do
- Administrative Support and Data Management
- Provide data support for the adult services leadership team, including generating weekly reports, conducting data audits, and assisting with grant and advocacy reports.
- Manage client data in Therap, including authorizations, assessments, plans of service, clinical service notes, and billing for adult services.
- Maintain and organize files for all adult program participants, including record releases, medical releases, emergency information, and liability releases.
- Monitor and update annual adult participant paperwork, ensuring timely completion and compliance.
- Manage leadership team calendars, schedule staff training, and oversee logistics for internal and external meetings.
- Coordinate and schedule all required trainings for adult services staff in collaboration with the Training Department, ensuring credentialing and certification requirements are met.
- Support the execution of facility licensing and EAP compliance monitoring.
- Provide front-desk reception coverage, ensuring efficient communication between callers, staff, parents, and external contacts.
- Manage facility access, direct visitors, and respond to inquiries in collaboration with other administrative staff.
- Monitor office supply requests for the Woodruff campus and order necessary materials.
- Assist in executing emergency action procedures (EAP) in collaboration with clinic leadership.
- Monitor medicine distribution policies at the on-site clinic, ensuring compliance with protocols.
- Coordinate transportation and logistics for campus outings, communicating relevant details to staff, participants, and parents.
Who You Are
Required Qualifications
- Education: High School Diploma or equivalent (GED, HiSET, TASC).
- Experience & Skills:
- Strong written and verbal communication skills.
- Detail-oriented with excellent accuracy in data entry and reporting.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and willingness to learn Google Suite, Therap, CentralReach, Podio, and HRIS software.
- Strong organizational and time management skills.
- Ability to handle multiple tasks in a fast-paced environment.
- Maintains confidentiality and handles sensitive information professionally.
- Team-oriented with a positive attitude and the ability to collaborate effectively.
- Physical Requirements and Working Conditions
- Ability to remain seated for extended periods while performing administrative duties.
- Frequent use of a computer, keyboard, mouse, and office equipment (phone, copier, scanner).
- Occasional lifting of up to 25 pounds to manage office supplies or files.
- Ability to move between office locations and assist in event setups as needed.
- Exposure to a fast-paced, high-energy work environment, including interactions with clients, families, and staff.
- Emotional resilience to manage challenging behaviors, maintain professionalism, and navigate high-pressure situations.
- Ability to adapt to a dynamic, fast-paced work environment with frequent interruptions and competing priorities.
