Responsibilities

• Greet and announce visitors, customers, vendors and suppliers, and manage the telephone system
• Answers high volume of calls and emails and communicates relevant information to the appropriate parties.
• Provides information to callers, relays messages, and announces visitors.
• Coordinate customer orders and provide necessary information.
• Work with other departments to ensure orders are being fulfilled properly and on-time.
• Manages incoming and outgoing mail and handles deliveries.
• Assists with faxing, copying, mailing/distribution, etc.
• Completes other administrative duties as needed such as data entry, paperwork, photocopying, etc.
• Schedules and confirms meetings.
• Ensures file organization based on office protocol.
• Maintains an inventory of supply room and places office supply order with purchasing department.
• Keeps the reception area tidy.
• Assists in administrative projects and overflow work from different departments.
• Performs other duties or special projects as required.

Qualifications

• Must be bilingual (English and Spanish)
• Associate's/Bachelor's degree (Preferred)
• The preferred candidate will have a minimum 1 year of experience.
• Strong verbal and written communication skills.
• Exceptional organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail.
• Very strong interpersonal skills and the ability to build relationships.
• Demonstrates proactive approaches to problem-solving with strong decision-making capability.
• Ability to react with appropriate levels of urgency to situations and events that require quick response or turnaround.
• Highly resourceful team-player, with the ability to also be extremely effective independently.
• Proven ability to handle confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest level of customer/client service and response.
