Job Title: Event Planner/Workplace Coordiator

Pay Range: $28 - $31/hr.

Location: New York, NY 10017

Duration: 9 Months (Potential to go extend)

Hours: 7am - 6pm EST (Flexibility required based on business needs for events)


About the Role:

We are seeking a Client Center Event Planner to support corporate conference and client centers in Midtown NYC. This role requires a strong hospitality and administrative background, with an emphasis on high-touch customer service for senior executives. The position will involve meeting planning, front desk coverage, and event coordination, ensuring seamless operations and a professional client experience.


Key Responsibilities:

  • Coordinate and plan boardroom meetings with catering, AV, and facilities teams.
  • Provide high-touch customer service, greeting and escorting clients while ensuring a seamless experience.
  • Manage the reception desk, handling phone calls, shared inbox emails, and scheduling event room requests.
  • Work closely with C-suite executives and high-profile clients, ensuring professionalism and confidentiality.
  • Monitor and troubleshoot room setups, AV, and catering needs to match event requirements.
  • Utilize EMS (Event Management System) to manage bookings, update reservations, and generate reports.
  • Communicate effectively with clients, providing status updates and available options for requests.
  • Join pre- and post-event planning meetings, assisting with data entry and logistics.
  • Maintain an adaptable and solution-oriented approach to client challenges.


Qualifications & Skills:

  • 3 years of experience in hospitality, administration, or event planning within a corporate or high-end service setting.
  • Prior experience supporting C-suite executives and handling confidential information professionally.
  • Strong knowledge of Microsoft Office (Outlook, Word, Excel); familiarity with EMS or event booking systems is a plus.
  • Excellent attention to detail, ability to multi-task, and strong organizational skills.
  • Knowledge of AV systems and conference room technology preferred.
  • Professional demeanor with strong verbal and written communication skills.
  • Flexibility to work varying shifts and rotate between multiple locations as needed.
