Financial Payroll Analyst
This role will primarily focus on financial analysis, including all payroll responsibilities, 401(k) and HSA contributions, journal entries, expense management, payroll tax support and AP management support. The successful candidate will coordinate all payroll operations, ensuring timely and accurate processing along with AP support.
Essential Duties & Responsibilities:
Financial Analysis & Reporting:
- 401(k), HSA, and Journal Entries: Oversee and reconcile employee contributions to 401(k) and HSA accounts, ensuring accurate journal entries and documentation.
- Expense Management: Track and process employee expenses in alignment with company policy and budget requirements.
- Payroll Taxes: Coordinate all payroll taxes with 3rd party payroll administrators and reconcile to general ledger
- Spreadsheets & Reporting: Maintain detailed spreadsheets for various financial data, ensuring accuracy in financial reporting, reconciliations, and analysis.
- Union Dues: Process monthly union dues and ensure proper deductions and reporting.
- Contract Bonuses: Process and track quarterly contract bonuses for eligible employees.
- AP: Support Sr Financial Analyst with AP coordination
- Worker’s Comp reporting: Manage reporting for various worker compensation audits.
Payroll Administration:
- Timecard Review and Approval: Ensure the accuracy of employee timecards and approve them in a timely manner.
- Payroll Processing: Administer payroll on a weekly and bi-weekly basis, ensuring employees are paid accurately and on time.
- Seniority Reports & Payrate Changes: Review seniority reports and process pay rate changes as needed.
- Pay Increases & Adjustments: Process and document pay increases and adjustments in payroll systems.
- Taxes, Garnishments, & Child Support: Ensure accurate payroll tax deductions, garnishment processing, and child support withholdings.
- Bank: Resolve discrepancies related to payroll bank returns, voids and reissues, working closely with Finance team
- Live Checks: Handle distribution of live checks where necessary and ensure proper tracking.
- Fringe Benefits: Manage employee fringe benefits, ensuring timely updates and accurate deductions in payroll.
- Internal Payroll Support: Act as a point of contact for employees regarding payroll inquiries, providing resolutions for issues related to pay and benefits.
- Managing TOD (Earnings & Deductions): Oversee earning and deduction codes, as well as manage accruals, holidays, and time-off policies in payroll systems.
Year-End and Annual Functions:
- Review W2s for All Companies: Ensure accuracy and compliance in the preparation and distribution of W-2s for all company entities.
- Year end reporting: Reconcile year end payroll reports with general ledger and W2s.
- Process 3rd Party Sick Pay: Administer annual processing of third-party sick pay, ensuring compliance and accuracy in tax reporting.
- Company Vehicle Personal Use: Process and track the personal use of company vehicles for tax reporting purposes on an annual basis.
- Vacation Accruals & Payouts: Manage vacation accruals and payouts, ensuring proper balances and compliance with company policy.
- CMiC End-of-Year Manual Carryover: Ensure proper manual carryover entries in the CMiC system at year-end.
- Payroll Initiative Projects
Key Qualifications & Prior Experience:
- Bachelor’s degree in Finance, Accounting, or a related field.
- 2 years of experience in financial analysis or payroll administration, or a combination of both.
- Strong understanding of payroll processes, including tax calculations, garnishments, and benefits management.
- Proficiency in Microsoft Excel and other spreadsheet software; ability to create and maintain complex financial models and reports.
- Experience with payroll software (e.g., Paycor, ADP, or similar platforms) is preferred.
- Knowledge of 401(k), HSA, and other employee benefits programs, including contribution tracking and reporting.
- Excellent attention to detail, analytical skills, and the ability to multitask and meet deadlines.
- Strong communication skills, with the ability to interact with employees at all levels of the organization
- Confidentiality and discretion when handling sensitive financial and payroll data.
Preferred Qualifications:
- Familiarity with union payroll processes.
- Knowledge of tax laws and payroll regulations, including compliance with federal, state, and local tax authorities.
