Position Overview: We are seeking a highly organized and proactive Executive Assistant to support our CEO. This role requires a strategic thinker with exceptional communication skills, strong attention to detail, and the ability to manage multiple priorities in a fast-paced environment. The Executive Assistant will play a crucial role in enhancing the efficiency of the CEO’s operations while ensuring alignment with company goals.
Key Responsibilities:
1. Executive Support:· Provide high-level administrative support to the CEO, including handling confidential information with discretion.· Assist with daily administrative tasks and ensure the CEO's office operates smoothly.
2. Calendar Management:· Manage and maintain the CEO's calendar, scheduling appointments, meetings, and events.· Prioritize and resolve scheduling conflicts, ensuring optimal time management
3. Meeting Management:· Organize and coordinate meetings, including preparing agendas, taking minutes, and following up on action items.· Ensure all meeting logistics are arranged, including venue booking and equipment setup.
4. Itinerary Preparation:· Prepare detailed itineraries for the CEO's business trips and events.· Ensure all travel-related documents and arrangements are in order.
5. Travel Management:· Arrange and manage travel plans, including flights, accommodations, and transportation.· Handle any changes or issues that arise during travel.
6. Appointment Fixing:· Schedule and confirm appointments with internal and external stakeholders.· Ensure timely communication and coordination for all appointments.
7. Coordination with Cross-Functional Leaders:· Act as a liaison between the CEO and cross-functional leaders, facilitating communication and collaboration.· Coordinate and follow up on tasks and projects involving multiple departments.
8. Document Management:· Manage and organize documents, ensuring easy access and retrieval.· Prepare, review, and edit reports, presentations, and other documents as needed.
9. Project Management:· Assist the CEO with special projects, including research, data analysis, and report preparation.· Track project progress, ensuring timely completion and adherence to deadlines.
Qualifications:· Education: Bachelor's degree in Business Administration, Management, or a related field.· Experience: Minimum of 5 years of experience as an executive assistant or in a similar role supporting senior executives.
Skills:· Excellent organizational and time-management skills.· Strong written and verbal communication skills.· Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).· Ability to handle multiple tasks and prioritize effectively.· High level of professionalism and confidentiality.· Strong problem-solving and decision-making abilities. Preferred Qualifications:· Experience in a corporate environment.· Familiarity with project management tools and software.· Ability to work independently and as part of a team. Working Conditions:· Full-time position.· May require occasional travel.· Ability to work flexible hours as needed.
