Summary
As Executive Assistant to the founder CEO, you must have outstanding verbal/written communications skills, exhibit attention to detail, and be comfortable managing multiple work streams without direct management. Your role will include keeping me organized, productive, and focused on priority objectives.
Ongoing activities for which I’ll rely on you are as follows:
Business Management
- Bookkeeping in Quickbooks online
- Monthly invoicing of fees and expenses
- Research services needs and service providers
- Drive visibility to all task and project management via Clickup
- Develop and maintain a corporate calendar
HR
- Job description research
- Job posting
- Candidate phone screenings
- Reference checking
- Staff onboarding/termination activities
Pre-sales
- Pre-meeting research on prospects/clients
- Assistance drafting client proposals
- Manage keep-in-touch efforts, using salesforce for tracking
Internal / Client Project Coordination
- Coordinate project updates from KGK/client staff
- Prepare client status reports
- Maintain client/project time trackers
General / Misc
- Schedule meetings and handle related logistics (food delivery, restaurant selection)
- My calendar /schedule management
- Selecting client gifts / experiences
- Power point / document review and refinement
- Online research of misc. business issues/topics when needed
Personal
- Plan travel, events, and activities
- Search and select gifts
- Research service providers
Desired Experience
- Experience as a business manager, chief of staff, or executive assistant, ideally within a professional services organization.
- Experience owning budgeting, bookkeeping, and internal reporting tasks
- Experience with vendor sourcing, evaluation, and management
- Competence and comfort with computers, software, and online research
- Demonstrated ability to prioritize, organize, and deliver work
- Competence with Microsoft Excel, Microsoft PowerPoint, Google Sheets/Apps, Microsoft Word is required
Candidate Requirements
- Excellent oral and written communication
- Proactively ask probing questions to understand problems/requests and develop solutions, while keeping me informed and consulting me at appropriate points
- Accountability for high quality and timely completion of all assignments
- 3-5 years experience as an executive assistant
- Bachelor’s degree or equivalent qualification preferred
- Chicago-land based, ideally within 10 miles of 60635, allowing for on-site support (50% virtual).
- Available to work a minimum of 20 hours per week
Compensation
