Job Title: Secretarial/Clerical Employee - Currently located at the Consortium Services Building, Dickinson County
Report To: Director of Finance
Position Type: Full-time; 200 Days; 12 Months
Union & FLSA Status: ESP I Union, Non-Exempt
Compensation: Based on the ESP I Clerical Grid
Qualifications:
- Minimum requirements of High School diploma or equivalent.
- Two (2) years on the job secretarial/clerical experience preferred.
- High degree of proficiency in office procedures and protocols.
- Proficient in standard office equipment and word processing/business software applications and efficient use of current office technology.
- Excellent organizational skills.
- Good quality written and oral communication skills.
- Driving may be necessary for this position which would require a valid driver’s license.
General Description:
The role of the secretarial/clerical employee is to provide quality services to the department and work effectively with all constituents of the DIISD.
Essential Functions:
- Must have regular and reliable attendance.
- Able to effectively take direction, as well as, work independently and as a member of a team.
- Able to work and communicate effectively with students, parents, staff, schools, and community constituents.
- Excellent organizational skills.
- Assist Pupil Auditor with pupil audits per the requirements of MDE and review pupil accounting with LEAs according to state requirements.
- Update online budget transparency monthly with information provided by the Business Office.
- Coordinate with administration and staff all public relations efforts for all DIISD departments.
- Provide primary or secondary coordinating services with on-line access for assigned DIISD workshops, trainings, and events.
- Provide clerical support for general fund services as needed.
- Consortium office receptionist and display confidentiality in all work-related matters.
- Maintain and enter data for students and staff as required by the districts and individual grants and for LEA teachers. Internal and external grant reporting as required.
- Perform filing and photocopying for administration as needed. Provide scanning of documents to all Departments and Local Districts when requested.
- Coordinate, as needed, staff in-service activities within the ISD.
- Assist with newsletters, public relations materials, and any marketing/promotional activities.
- Respond to the many miscellaneous needs/duties that arise each day and perform additional tasks as assigned by the administration.
- Assist with any advertising needs for the general fund.
- Perform printing and distribution of employee badges and inactive employee badges that are no longer employed by the DIISD.
- Assist Technology Department with ITV setup for meetings and conferences along with setup and cleanup of conference room including daily clean-up of kitchen.
Other Duties and Responsibilities:
- Serve as a positive role model for DIISD constituents demonstrating how to be a responsible citizen and productive member of society.
- Adhere to DIISD Code of Ethics.
- Ability to carry out other associated duties as assigned by administration
- Follow all policies or agreements of the BSC
Additional Working Conditions:
- Occasional exposure to blood, bodily fluid and tissue.
- With reimbursement, may be required to use personal vehicle to perform job related functions.
