What are the responsibilities and job description for the Receptionist position at Dickinson Wright PLLC?
Staff designated at Dickinson Wright PLLC (“the Firm”) as Receptionist are under the general supervision of the Office Administrator and according to established policies and procedures, performs all functions related to receiving clients, vendors, and deliveries and directs them to the appropriate individual(s) within the Firm. Maintains contact with attorneys, staff and clients and observes confidentiality of client and Firm matters.
Essential Duties and Responsibilities:
Essential duties and responsibilities of staff designated as Receptionist at the Firm include but are not limited to:
- Receive and record oral information from telephone calls, and then communicate it to attorneys and staff. Operate a multi-line telephone console in order to relay incoming, outgoing, and internal calls;
- Meet and greet clients and visitors to the law office and ensure proper clearance and routing of such parties in accordance with Firm policies, notify supervisor of any difficult situation;
- Assist clients with faxing, copying, and other needs as required;
- Receive and record deliveries to the office and/or individuals within the office and route them accordingly to the proper recipient;
- Maintain records of packages left at front desk for pick-up;
- Schedule and maintain records for utilization of conference rooms. Request special set-up of conference rooms and place or coordinate orders for meals and refreshments as needed;
- Maintain neatness of lobby and reception area;
- Perform clerical duties as required for the Office Administrator, including letters, memorandums, labels, indexes, etc.;
- Responsible for placement and follow-up of facilities management service calls to the landlord’s maintenance representative.
Qualifications, Skills and Abilities Required:
Receptionist must:
- Have approximately six months to one year on the job experience necessary in order to gain an understanding of the law office and departmental policies and procedures;
- Possess the ability to organize and prioritize numerous tasks and complete them under time constraints with minimal supervision;
- Possess the ability to read and write at a level normally acquired through the completion of high school in order to maintain records and filing systems;
- Possess interpersonal skills necessary in order to communicate by telephone with visitors and provide information with ordinary courtesy and tact;
- Possess interpersonal skills necessary to communicate with a diverse group of attorneys and staff and provide information with ordinary courtesy and tact while safeguarding confidentiality;
- Work occasionally requires a high level of mental effort and strain when performing a high volume of clerical tasks and performing other essential duties;
- Work occasionally requires more than 40 hours per week to perform the essential duties of the position, may require irregular hours;
- Possess the ability to type memorandums, letters, labels, indexes, etc. and complete other necessary forms;
- Ability to proofread typed material for typographical or spelling errors.
Working Conditions:
Normal law office environment with little exposure to noise, dust, temperature.
