Front Office Receptionist/Clerk Job Description
Reports To: Front Office Lead
Department: Office Operations
Job Summary: This position is required to greet patients, check them in and out of their office appointments throughout the day. It is expected that every patient is greeted with a smile. In this role, you are the first impression of the office. This position will be interfacing with all facets of the organization including physicians, nursing, medical records, administration, scheduling and billing. It includes the use of multiple computer software programs as well as a working knowledge of office/patient flow.
Job Responsibilities:
- Greet patients at check-in;
- Complete check-in and patient information process;
- Correctly communicate the appropriate office co-pay and/or office visit fees at the time of service;
- Enter demographic information;
- Input and verify primary, secondary and all other insurance information;
- Enter primary and referring physician if different;
- Enter pharmacy information;
- Enter ethnicity, race, language, etc. as needed for Meaningful Use Compliance;
- Scan all documents to the patient’s file (electronic medical record) at attach, assign and initial all scanned information; and
- Print out medical visit summary for return patients.
Additional Job Duties:
- Understand and input correct information for:
- Return appointments as follow-up to the most recent office visit
- Office visits for either a new health issue/symptom or new patient
- Scheduling Procedures:
- Document all referrals by completing the Procedure Log and initial
- Scan referrals and assign them to the patient’s chart
- Record indications in the reason block of the medical record, i.e. diabetic/Coumadin/nurse practioners/doctor/diagnosis/prep/initials
- Managing Referrals:
- Ensure that referrals are made for all return visits, if needed
- Confirm that all new office visits/patients have a referral
- End of Day Procedures:
- Balance all monies at front desk collected during the day. (Monies must balance. If not, you are required to stay until the discrepancy is identified and corrected)
- Print day sheet (total of day sheets should match all monies collected)
- Close, batch and print credit card machine
- Add up all checks, credit cards and cash for deposit
Job Requirements:
- High School Diploma or equivalent; additional education a plus
- Bi-lingual a plus but not mandatory
- Must be proficient with Microsoft Office and office management/EMR software
- Must be willing to work a flexible schedule
- Punctual
- Must function as a team with other co-workers
- Ability to handle several tasks at one time
- Perform other job functions where cross-trained
- Other duties as assigned

Pay: $16.00 - $19.00 per hour
