Summary

The Facilities Manager oversees the operations, maintenance, and administration of all our facilities. This role is crucial to ensure that our premises run smoothly, safely, and efficiently, thereby supporting the productivity of our team and the overall success of the organization. The Facilities Manager will play a key role in creating a conducive work environment by managing the physical space and ensuring that all facilities are functioning optimally. This includes overseeing maintenance teams, implementing safety protocols, managing budgets, and coordinating with various contractors and service providers. The ideal candidate will possess excellent leadership skills, be proactive in problem-solving, and have a solid understanding of facility management and best practices. In addition, the Facilities Manager will work closely with other departments to align facility needs with organizational goals and effectively communicate with staff to address their needs and feedback. This role requires a strategic thinker who can not only handle day-to-day operations but also plan for future facility needs in alignment with the company’s growth trajectory and sustainability.

  • Manage and oversee all aspects of facility operations including maintenance, safety, and security.
  • Coordinate and supervise maintenance activities and repair work with vendors and contractors.
  • Develop and manage the facility budget, ensuring cost-effectiveness and adherence to financial guidelines.
  • Implement and enforce safety and compliance protocols in accordance with regulations.
  • Conduct regular assessments of facilities to identify improvement opportunities and preventative maintenance needs.
  • Serve as the primary point of contact for facility-related issues and inquiries from staff and management.
  • Develop and maintain relationships with service providers and vendors to ensure quality services are delivered.
  • Conduct routine and scheduled inspections of premises and equipment.
  • Perform preventative maintenance and handle basic repairs and maintenance to machines, equipment, or structures.
  • Manage work orders and routine maintenance schedules by prioritizing and completing them in a timely manner.
  • Respond to emergencies quickly and calmly. Assess the situation and make the appropriate decision. Be available and coordinate facility and equipment access for emergency personnel.
  • Monitor inventory, order supplies, and maintain purchase records within authorized budget.
  • Follow safe working practices and make appropriate use of related safety equipment as required.
  • Perform other duties as needed.

Qualifications

  • Minimum of 5 years of experience in facilities management or related experience.
  • Strong understanding of building systems, maintenance processes, and project management.
  • Excellent leadership skills with the ability to manage multiple teams and projects effectively.
  • Proficient in budget management and cost control techniques.
  • Exceptional communication and interpersonal skills to engage with stakeholders at all levels.
  • Certifications in Facilities Management (such as IFMA or BOMA) are a plus.
