What are the responsibilities and job description for the Construction Administrative Assistant position at Dilling Group Inc.?
As an Administrative Assistant you will work as part of a construction team to effectively execute administrative duties associated with running a mechanical construction company.
Job Duties:
- Filing, scanning and document management to mainframe system
- Create purchase orders for construction teams
- Invoicing of Time & Material and Contract jobs
- Perform checks and balances verifying job costs
- Review and analyze job cost reports for accuracy
- Assist with accounts receivable collections
- Meet accounting deadlines for month-end process and closing cycles
- Assist construction teams with project submittals, O&M manuals, etc.
- Request bid and job numbers as directed by construction teams
- Perform other related duties or special projects as assigned
Requirements:
- High school diploma or GED equivalent preferred
- 1 or more years of administrative assistant experience
- Prior experience working within the construction/service industry, inclusive of general contractors, specialty contractors and service providers preferred
- Proficiency in MS Word and Excel, etc. preferred

- Ability to learn and perform work in multiple mainframe system screens
- Ability to follow established procedures for work being performed
- Strong organizational skills and ability to meet deadlines

- Ability to perform high work volume with minimal errors and supervision
