Manage the front desk and facilities operations of a 36 , 000 SqFT Building in Dayton, Ohio onsite and oversee facilities operations at all other locations . Greet visitors and process visitor badges. Supervise the mailroom to receive and ensure prompt distribution of incoming packages and mail . Provide assistance for outgoing packages and mail. Establish and maintain equipment and system standards, including restrooms, and elevator. Coordinate office related services and activities such as maintenance, repair, inventory, equipment, and groundskeeping. Issues RFP's to contractors for equipment and systems maintenance. Explore and solicit alternative options for products and services to maintain high standards in all offices and opportunities to reduce budgetary expenses. Oversee construction and renovation projects to improve efficiency and to ensure that facilities meet environmental, health, security standards, and follow government regulations. Prepare and monitor annual department budget.

Job Duties And Responsibilities

  • Address all facilities related ServiceNow support request in a timely , professional manor .
  • Understand, support, and train others on the use of all equipment in the building including the conference room audio/video technology .
  • Ensure adequate supplies for the office and maintain accurate and updated inventories.
  • Keep in compliance with and abreast of all OSHA , environmental, and security regulations.
  • Manage office space for employees in each facility including layout of personnel in coordination with Senior member of local office
  • Research space to relocate or open new offices and to make decisions about leasing – including traveling to location, site visits, and presenting options to executive team
  • Coordinate relocation or set up of new offices, coordinate furniture ordering and delivery, create and communicate a plan to move offices, furniture, and employees.
  • Responsible for the development and implementation of facility policies and procedures and for interpreting administrative policy for facility users.
  • Support Teir 1 Service Now IT requests promptly and professionally .
  • Manage building access and support the monitoring of the building. In the event of an emergency, serve as the on-call lead.

Job Requirements (Education/Skills/Experience)

Qualifications

  • 2 years’ experience working in facilities management
  • Knowledgeable of HVAC and other building systems
  • Ability to lift to 50 pounds, unassisted
  • Excellent time management skills
  • Experience planning and maintaining budgets
  • Great Leadership, accountability, and problem- solving skills
  • Ability to pass a background check
  • Technical IT Competency

Preferred Qualifications

  • Certified Facility Manager or equivalent
  • Excellent verbal and written communication skills
  • Contract handling experience
  • Strong attention to detail
  • ServiceNow Experience

While performing duties of this job, employee is often required to reach with hands and arms, stoop, kneel, bend, crouch, or crawl . The employee must also occasionally lift and or move up to 50 pounds or more.

This position may require after normal business hours support, if an emergency.
