JOB ANALYSIS
The Business Manager is the Chief Financial Officer of the Academy. The Business Manager is appointed by the Board of Trustees and shall report directly to the Board of Trustees. Responsibilities include supervising, directing and coordinating the financial activities of Saint Thomas Aquinas Academy. The Business Manager shall work in cooperation with the Principal in the execution of all policies and procedures concerning the financial, human resource, and maintenance management of the Academy. In addition, this position will serve as the, chief grants person.
ESSENTIAL JOB FUNCTIONS
- Plan, organize, and direct the activities of non instructional personnel and volunteers assisting with financial activities.
- Prepare and implement feasibility and cost/benefit studies.
- Create and maintain the financial procedures.
- Prepare, update, review and forecast the Academy budget.
- Prepare, assemble and submit forms, reports and documentation required for applicable grants and/or funds.
- Evaluate the inventory and condition of the Academy equipment, including the necessary analysis to determine if new equipment should be purchased or existing equipment repaired.
- Supervise the budget, business records, financial statements, tuition and parish assessments, purchasing, insurance, employee compensation schedule and employee benefits program, and long-range financial planning.
- Responsible for the preparation, execution and maintenance of all payroll records and supervises all and any staff or volunteers working in these areas as well as the procedures they follow.
- Work in cooperation with the Principal to update the school personnel manual.
- Handle all donations received from development activities fundraising, as well as maintain proper accounting.
- Prepare and maintain a cash flow analysis so that bill payments may be made as smoothly and rhythmically as possible every month.
- Verify all bills before payment, assign proper account numbers, approve for payment and file when paid. Account for and file all receipts. File all other data pertinent to financial operations. Keep regular accounting records in conformance with all non-profit rules and regulations.
- Daily management of various bank accounts and reconcile to bank statement
- Recommends changes to the Board of Trustees concerning policies and procedures.
- Prepares, distributes and compiles reports for annual registration of students. Coordinates enrollment information with each school site. Provides enrollment reports requested by the Principal.
- Compiles requests and documentation for grants and tuition assistance. At the direction of the Tuition Assistance Committee adjusts individual accounts to reflect Committee’s assistance decision. Reconciles financial requests with scholarship funding. Communicates decisions to parents regarding assistance requests.
- Creates tuition accounts and prepare monthly statements.
- Answers questions from parents on outstanding tuition and makes adjustments as necessary.
- Complete training requirements for Choice Administrator.
- Performs duties of Choice Administrator for Wisconsin Parental Choice Program.
- Prepares and coordinates with auditors to conduct required Wisconsin Parental Choice Program audits.

QUALIFICATIONS
- Requires an Associate’s Degree in Accounting, Business Administration or related field.
- Requires three years of management experience.
- Active Catholic preferred.
- Obtain Diocesan Religion Certification within 3 years of hire.
- Obtain Virtus training within 6 months of hire.
- Possess and maintain an insurance acceptable driver’s license.
