POSITION TITLE: Gift Processing Specialist
REPORTS TO: Director of Development Operations and
Diocesan Secretary for Development
PURPOSE OF POSITION:
The Gift Processing Specialist is responsible for recording and processing all charitable contributions made to the Diocese of Scranton and providing telephone and email support as it relates to donor inquiries regarding gifts and gift histories.
The primary focus of this position is the prompt entry, receipting and acknowledgement of gifts to the Catholic Ministries Appeal (Annual Appeal), the Diocese of Scranton Catholic School System, Catholic Social Services of the Diocese of Scranton, and other special fundraising initiatives coordinated with the Diocesan Development Office. Additional functions include support with mailing lists, running or updating some reports, registration assistance at special donor events/receptions, and other office duties as assigned.
ESSENTIAL FUNCTIONS:
- Record gifts with accuracy and timeliness to the Diocesan database.
- Update donor records based on biographical and demographic information changes as necessary; add new records as needed.
- Answer Development Office phones, provide information to callers, and transfer calls to the appropriate person or office.
- Serve as a contact for donor inquiries regarding all aspects of the Catholic Ministries Appeal (Annual Appeal) and other Diocesan fundraising efforts and enhance our interaction with donors to include regular cultivation.
- Track event registration and payments for all development-related receptions and events.
- Assist in the coordination gift acknowledgement letters and notes in a timely and accurate fashion.
- Assist in providing information and reports to parishes in the Diocese as needed.
- Run routine queries and export files in support of job responsibilities.
- Attend Development events to assist with registration and event management.
- Assist with specialized fundraising initiatives, including Rectory! Set! Cook!, Vocations Golf Tournament, NEPAGives, and others.
- Perform other job-related duties as assigned.
QUALIFICATIONS:
- High school diploma required; associate’s degree or higher preferred.
- Extensive computer software experience including, but not limited to, Microsoft Word, Excel; experience with Donor Perfect (the Diocesan fundraising database) or other fundraising or sales management database preferred.
- Ability to learn and integrate standard policies and practices guiding the performance of job activities and requirements.
- Ability to work with sensitive and confidential issues, perform advanced tasks and work with internal and external customers.
- Highly detail oriented with a critical degree of accuracy regarding data entry and analysis.
- Excellent time management skills. Ability to prioritize work and to perform multiple tasks simultaneously while adhering to deadlines with periodic heavy workloads.
- Knowledge of general accounting principles and business communication a plus.
- Ability to work both independently and collaboratively as part of the Development team.
