Job Posting: K-12 Registrar or Admissions Officer
We are seeking a detail-oriented and organized K-12 Admissions Officer to manage the enrollment process and maintain accurate student records across all grade levels. The ideal candidate will be responsible for ensuring the seamless operation of student registration, admission and enrollment, transfers, and records management in a K-12 school environment. The Admissions Officer will work closely with school administration, staff, and families to ensure smooth transitions for students and maintain the accuracy of all student data.
Key Responsibilities:
- Oversee and manage the student enrollment and registration process for all grades, ensuring compliance with district, state, and federal regulations.
- Maintain accurate and up-to-date student records, including enrollment data, academic history, transcripts, and health information.
- Coordinate and manage the open house events, providing parents and prospective students with vital information about school offerings, registration, and enrollment processes.
- Process student transfers, withdrawals, and updates to ensure timely and accurate changes to student records.
- Generate and analyze various reports related to student enrollment, academic progress, attendance, and other key metrics to support data-driven decisions and improvements.
- Collaborate with school administration, faculty, and staff to ensure proper placement of students in classes, special programs, or extracurricular activities.
- Communicate with parents and guardians regarding the registration process, required documentation, and any changes to student information.
- Work with the admissions team to support the application and admission process for new students, ensuring a smooth and efficient transition.
- Maintain student databases and ensure that all student records are accurate, secure, and compliant with privacy laws (e.g., FERPA).
- Assist in generating and distributing enrollment and attendance reports, student academic progress reports, and other necessary documentation for various school needs.
- Analyze enrollment trends and demographic data to inform decisions about staffing, resource allocation, and program offerings.
- Respond promptly and professionally to inquiries related to student records, enrollment, and admissions.
- Support the school’s accreditation process by ensuring that all required documentation and records are in place for review.
Qualifications:
· Bachelor’s degree in Education, Administration, or a related field (preferred).
· Experience working in student records management, admissions, or school administration.
· Familiarity with student information systems (SIS) and other data management platforms.
· Strong organizational skills and attention to detail with a focus on accuracy.
· Ability to handle sensitive and confidential student information in compliance with privacy laws (e.g., FERPA).
· Strong data analysis skills, with the ability to generate, interpret, and present reports for decision-making purposes.
· Excellent communication skills, both written and verbal, with the ability to interact professionally with students, parents, staff, and external organizations.
· Ability to multitask and prioritize effectively in a fast-paced environment.
· Knowledge of K-12 educational practices and regulations is preferred.
· Strong proficiency in Microsoft Office Suite, especially Excel for report generation and data analysis.
· Previous experience working in a K-12 educational setting is preferred.
