TITLE: District Office Receptionist & Substitute Coordinator
CLASSIFICATION: Non-Exempt, 12-Month, Classified Level 5, Range $16.02 - $19.22
REPORTS TO: Assistant Superintendent of Human Resources
GENERAL STATEMENT OF RESPONSIBILITIES: To provide support to Human Resources, Finance and other District Office departments by directing all incoming district communications by phone, email, or in-person visits and also act as coordinator for arranging substitute placements District-wide.
PRINCIPAL DUTIES: (essential functions)
• Acts as primary contact with Educational Services Inc. - Substitute Coordinator
• Arranges coverage for teacher absences, substitute support and reconciles payroll for substitutes
• Provide confidential administrative support.
• Greet visitors, receive and distribute telephone calls, and messages.
• Assist with investigation and respond to concerns of parents, staff, administrators, district offices, public agencies and the general public.
• Serves as a reference source for all who call or enter the district office.
• Order equipment and office supplies as approved by the supervisor.
• Maintain records of purchase orders, invoices and requisitions.
• Acknowledges receipt of equipment and supplies received.
• Checks references on new hires as is required by ARS 15-512
• Assists newly hired employees with paperwork completion.
• Performs other duties as assigned.
KNOWLEDGE AND SKILLS REQUIRED:
- Knowledge of office equipment and computer hardware and software applications.
- Knowledge of report preparation and records management principles.
- Knowledge of attendance policies and procedures.
- Knowledge of reference and background check procedures.
- Strong multitasking abilities to manage concurrent tasks while maintaining quality service.
- Skill in operating office equipment and computer hardware and software.
- Skill in customer service practices.
- Excellent verbal communication and active listening skills..
- Skill in establishing and maintaining effective working relationships with others.
MINIMUM QUALIFICATIONS: High school diploma/GED and two (2) years office experience OR an equivalent combination of education and experience that provide the required knowledge and skills. Bilingual Candidate - Highly Preferred.
