Before & After School Program – Summer Adventures Camp Administrative Assistant
Purpose Statement
The Before & After School Program - Summer Adventures Camp Administrative Assistant provides essential support to program operations, ensuring efficiency, organization, and compliance with district policies and state regulations. This role is responsible for maintaining accurate records, assisting with communication between staff and families, and managing administrative tasks to support program success. The Administrative Assistant plays a key role in fostering a positive and professional environment while assisting with student safety, attendance tracking, and program communication.
Job Title: Before & After School Program – Summer Adventures Camp Administrative Assistant
Hourly Wage: $14.00 - $15.75/hour
Reports To: Manager of Before & After School Programs; Before & After School Program Summer Adventures Camp Site Leader(s)
Wage/Hour Status: Non-Exempt
Working Days
- Attend Required Professional Development: Staff Orientation and Training – as scheduled, prior to camp start date
- Attend site team meetings as scheduled, potentially outside of program hours
- Employment dates: approximately mid-May through mid-August with opportunity to extend employment into the following school year
- Monday through Friday on camp days, as scheduled
- Hours: 6:15 – 10:15 a.m. and/or 2:00 – 6:00 p.m.
- Individual employee hours will be determined based on program enrollment and may vary week-to-week. Work hours may/may not match program hours, depending on employee qualifications, availability, and program need.
- Employees are scheduled up to 29-40 hours per week
Minimum Qualifications
- Experience in administrative support, education, or youth programming preferred.
- Strong organizational, communication, and time-management skills.
- Successful candidates are subject to post-offer pre-employment physical.
- Ability to multitask and manage administrative duties efficiently in a fast-paced environment.
- Proficiency in Microsoft Office (Word, Excel) and database management.
- Positive attitude, professionalism, and ability to work collaboratively with staff and families.
- Must pass all required background checks and meet state licensing requirements.
Essential Functions
Administrative & Operational Support
- Maintain accurate student attendance records, databases, and communication logs.
- Assist with enrollment processing, paperwork, and student file management to ensure compliance with program policies and state regulations.
- Support program staff by preparing materials and documentation needed for daily operations, including field trips, special events, and guest speakers.
- Ensure program supplies and resources are stocked, organized, and available for staff and students.
- Assist in monitoring program facility maintenance, cleanliness, and organization.
Communication & Customer Service
- Serve as a point of contact for parents, guardians, and staff, providing clear and professional communication.
- Respond to inquiries regarding program policies, schedules, and student information.
- Support staff with coordination of program updates, announcements, and logistics.
- Maintain confidentiality of student records and sensitive information.
Compliance & Professional Development
- Maintain current CPR and First Aid Certification with AED training, as well as other required program certifications.
- Ensure all student and staff documentation aligns with district policies and Iowa Department of Health & Human Services requirements.
- Assist in tracking required employee certifications.
- Participate in ongoing professional development, staff meetings, and required training sessions.
- Adhere to program policies, procedures, and state licensing requirements.
- Stay informed of program updates and actively implement new initiatives as required.
Working Environment
Mental Demands/Physical Demands/Environmental Factors:
The usual and customary methods of performing the position functions require the following physical demands: significant lifting, carrying, pushing, pulling, climbing, reaching, driving, standing and walking. Working conditions may include extreme temperatures and humidity. Hazards may include exposure to communicable diseases. This position requires one to maintain emotional control under stress.
