POSITION OBJECTIVE: Administrative support in Fairfield, New Jersey
RESPONSIBILITIES & EXPECTATIONS
Outstanding customer service with face-to-face customers & business partners
Excellent communication (both written and oral), and self-management skills
Good organizational and time management skills, attention to detail and be able to effectively handle multiple priorities
Proficiency in use of Microsoft Office Suite and multiple cloud-based platforms
Work closely with all department heads, as needed, to assist in their day-to-day
Team player, capable of working with all departments under challenges of tight timelines or last-minute requests including but not limited to organizing refreshments/meals for entertaining customers, employee trainings, etc., as well as clean-up of said events
Maintain kitchen, including supplies such as coffee replenishment, overall tidiness & organization
Receive and scan all incoming mail, distributing accordingly
Assist with accounting functions to assist Finance Department and Operations Group
Be open to learning new tasks/responsibilities to include finance & sales support functions
Required education and experience – High School or GED equivalent with knowledge of administrative support, finance, and other support-based positions
Preferred education and experience - Associates Degree or five (5) years’ experience in an administration type position. Understanding of overall administrative environment, commercial lighting or construction industry as well knowledge of industry software, Oasis system
Competency – Excellent verbal communication skills, accurate writing and typing skills, ability to self-edit, and use computer(s), general office equipment and cloud-based programs and applications.
Additional eligibility qualifications – Good organizational skills, independent thinker, team player
Supervisory responsibilities – Currently no direct reports
Work environment – This is an inside office position, Monday - Friday. This is not remote work from home position due to 1) office management 2) ongoing collaboration required between other team members in the office, and 3) industry requires hand on activities where resources and tools are located in the office (e.g., phones, blueprint machines, large scale printers, all other team members, etc.)
Physical demands - The physical demands of this job can include prolong periods of sitting, standing, and on occasion lifting (15 lbs.). Must also be able to access and navigate each department at assigned office.
Position type and expected hours of work - Full time position (40 hours) Monday - Friday
Travel - No travel is expected as part of this job with any regularity
