Summary:
This is a dual role position with responsibilities in Admissions and the Testing Center. An Admissions Advisor is responsible for supporting the admissions process and plays a vital role in ensuring the smooth operation of the application process to facilitate a positive experience for prospective students. The Testing Center Coordinator oversees the daily operations of the Testing Center and ensures compliance with all testing regulations.
Dixie Technical College is a public technical college located in a new state-of-the-art campus in St. George, Utah. The College has 29 Council on Occupational Education accredited programs that offer certifications in high-demand, high-pay professions.
This will be a full-time hourly position scheduled to work 40 hours per week and will include employee health benefits. P
Admissions Duties and Responsibilities:
- Reach out to all applicants to assist with application and set up an advisement appointment when possible via in person or through video conference
- Verify accurate applicant information, ensure admission standards are met, verify applications as complete
- Facilitate introduction of applicants to financial aid, instructional support, and instructors
- Lead campus tours for applicants when needed
- Keep Zoho CRM updated with detailed notes, appointments and tasks
- Be a team player and seek feedback
- Stay positive and represent the college in a professional manner
- Look for opportunities to help team members and students to accomplish their tasks and goals
- Share ideas for innovating the admissions process to make it more efficient and simple
- Utilize multiple forms of communication with applicants (phone calls, text messages, and email)
- Become familiar with all details of programs offered to ensure good customer service
- Be efficient with time management and proactive with helping fill programs
- Ensure that students and staff are treated respectfully and equally without regard to their race, color, religion, sex, age (40 or over), national origin, disability, sexual orientation, gender identity, pregnancy, childbirth, or pregnancy-related condition. Report all violations immediately to HR or Student Services.
Testing Center Duties and Responsibilities:
- Oversee the daily operations of the Dixie Technical College Testing Center
- Work with supervisor to develop and update services, policies and procedures in response to changing demands
- Follows federal and state regulations and policies and ensures compliance with regulations
- Maintain rules and regulations for all external testing agencies
- Maintain certification with Pearson Vue and all other testing agencies
- Serves as liaison with the programs and external testing agencies to ensure exams are proctored in a timely manner
- Administer special accommodations to students as directed by the ADA coordinator
- Train, schedule and direct the work of the other staff assigned to the testing center
- Administer and proctor exams offered in the Testing Center
- Immediately report any cheating or dishonesty to Student Services
- Manage appointment schedule
- Maintains Testing Center statistics including number of people tested, number of tests given, type of tests and budget. Prepares monthly and annual reports and makes recommendations to the supervisor concerning staffing and programming implications.
- Enter test results into Admissions software daily.
- Ensure end of day checklists are effectively completed
- Adhere to and enforce FERPA regulations
- Ensure cleanliness in the testing center
- Develop new testing center programs as demand requires by the programs and the community
- Follow Dixie Tech policies and procedures
- Other duties as assigned
Requirements and Qualifications:
- Associates Degree, Industry Certificate or 3 years experience in educational or testing administration preferred
- 2 year minimum customer service or student advising required
- Strong communication and/or presentation skills
- Strong time management skills
- Strong knowledge of Microsoft Office/Google suite applications
- Keyboarding skills
- The employee is occasionally required to sit, stand, reach, lift, bend, kneel, stoop, climb, push and pull items weighing 25 pounds or less. The position requires manual dexterity; auditory and visual skills; and the ability to follow written and oral instructions and procedures.
- Ability to communicate with students, staff and colleagues; read academic texts and materials, student papers, etc.; operate personal computer and audio-visual equipment; stand or sit for up to one to three hours at a time; move around campus for meetings.
