Position Summary
We are seeking a highly organized and proactive Executive Assistant to provide comprehensive administrative support to our executive team. The ideal candidate will be adept at managing a variety of tasks, ensuring smooth and efficient operations within the executive office. This role requires a high level of professionalism, discretion, and the ability to anticipate the needs of our executives.
Key Responsibilities
- Calendar Management: Coordinate and manage executive schedules, including arranging internal and external meetings, appointments, and events.
- Travel Coordination: Plan and organize comprehensive travel arrangements, including booking flights, accommodations, and transportation, while preparing detailed itineraries.
- Document Preparation: Draft, proofread, and edit various documents, such as reports, presentations, and correspondence, ensuring accuracy and professionalism.
- Meeting Support: Prepare agendas, take detailed minutes, and follow up on action items to ensure timely completion.
- Confidentiality Maintenance: Handle sensitive information with the utmost discretion and maintain confidentiality at all times.
- Office Administration: Assist with general office management tasks, including ordering supplies, managing records, and liaising with vendors.
Qualifications
- Experience: Minimum of 1-2 years of experience in an executive assistant or similar administrative role, preferably within the insurance or financial services industry.
- Skills:
- Exceptional organizational and time-management abilities.
- Strong written and verbal communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
