Job Summary: We are looking for an experienced and highly organized Medical Administrative Assistant with billing and coding experience to join our dynamic healthcare team. This role involves performing various administrative tasks to ensure our medical office's smooth and efficient operation. The ideal candidate will have prior experience verifying insurance eligibility and a solid understanding of medical office procedures, patient relations, and healthcare regulations.
Key Responsibilities
Patient Scheduling & Appointment Management:
- Schedule patient appointments, coordinate follow-ups, and manage cancellations or rescheduling requests.
- Maintain an efficient and organized appointment calendar for providers, ensuring no conflicts and that patients are seen promptly.
Patient Intake & Registration:
- Greet patients and assist with completing necessary paperwork, including medical history forms and insurance information.
- Verify and update patient demographics, insurance details, and medical records.
- Collect co-pays, deductibles, and other patient payments, ensuring proper documentation and receipts.
Medical Records Management:
- Maintain accurate patient records in compliance with HIPAA guidelines.
- Ensure that all charts and documents are correctly filed, updated, and readily accessible for providers.
- Process patient referrals, test results, and correspondence.
Billing & Insurance Verification:
- Verify insurance coverage, eligibility, and patient benefits before their appointments.
- Assist with preparing and submitting insurance claims and following up on any outstanding balances or denied claims.
- Work closely with patients and insurance companies to resolve billing issues and inquiries.
Communication & Coordination:
- Answer phone calls and emails promptly and professionally, addressing patient inquiries and directing calls to appropriate personnel.
- Communicate with medical staff, providers, and patients regarding appointment reminders, test results, and follow-up care.
- Assist in maintaining office supplies and managing inventory.
Office Support:
- Assist with office administrative tasks such as filing, faxing, and scanning documents.
- Help with maintaining the cleanliness and organization of the office environment.
- Support medical staff with preparation for patient exams and procedures.
Qualifications
Experience:
- At least 2-3 years of experience as a Medical Administrative Assistant, Billing/Coding Assistant, or similar role in a healthcare environment.
- Prior experience with electronic health records (EHR) systems and medical billing software.
- Strong knowledge of medical terminology, office procedures, and HIPAA regulations.
Skills:
- Exceptional organizational and multitasking skills, with the ability to manage competing priorities.
- Excellent verbal and written communication skills.
- Ability to work in a fast-paced environment and handle patient concerns empathetically and professionally.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook) and healthcare management software.
Education:
- High school diploma or equivalent required; Associate's degree in healthcare administration, medical office management, or related field is preferred.
- Certified Medical Administrative Assistant, a Biller and/or Coder, or Medical Assistant
Other Requirements:
- Valid CPR Card
- Strong attention to detail and ability to maintain confidentiality.
- Ability to work independently as well as in a team-oriented environment.
